About the role
The Office Services Coordinator provides general clerical and administrative office support assisting in daily office and operational needs of the business.
Responsibilities
- Works closely with the Office Services Manager on a daily basis to ensure an organized office and assists associates to optimize processes and administrative business needs.
- Sorts and delivers incoming and outgoing mail, including accounts receivable bank drops.
- Files, faxes, scans, prints and assembles documents.
- Assists with entering office expenses (FedEx, messenger services, invoices).
- New hire set-up – assigns office or cubicle, retrieves name plates for offices or cubicles, IT tickets, new hire photo, badges, keys, new hire supplies, etc. and organizes/cleans out offices and cubicles of exiting team members.
- Ensures training rooms, conference rooms and overall office space is clean and organized. Assists in the set up or breaking down of tables, furniture, etc.
- Schedules meetings and appointments. Schedules and prepares conference rooms. Provides reception coverage.
- Orders and stocks office supplies, stationery and breakroom supplies (coffee, soda, snacks).
Requirements
- High school diploma or GED required; high school diploma preferred.
- 0 to 1 year of relevant experience required.
- Proficiency in Microsoft Office suite.
- Experience with office machines, including facsimile, high-speed copier, multi-line phone and 10-key calculator preferred.
- Excellent customer service and client-focused skills.
- Excellent organizational skills and ability to manage through competing priorities.
- Detail-oriented with the ability to follow directions/procedures required, as well as prioritize calls and visitors.
- Ability to work independently to follow directions and procedures.
- Ability to work overtime and weekends as needed.
Pay
In Bellingham, WA: pay rate range is $27.31 - $39.75. Actual compensation is influenced by a variety of relevant factors including but not limited to applicant’s skills, prior experience, qualifications, degrees, professional certifications, work arrangements and geographic location.
