About the role

The Contracts Administrator plays a key administrative role within the Legal and Business Affairs function of the company. This role is responsible for drafting contracts, managing the end-to-end processing of contracts, ensuring timely execution, and maintaining contract records.

Responsibilities

  • Draft, issue, negotiate, and process standard publishing contracts and amendments, including work for hire, reprint agreements and simple author and artist agreements.
  • Track the status of contracts through their lifecycle—initial request, drafting/review, negotiation, execution, and archiving.
  • Ensure contacts are moving forward efficiently and within a reasonable timeframe, and where necessary liaise with applicable business and/or legal counterparts to help resolve bottlenecks.
  • Maintain and update contract records in our contracts management system, ensuring accuracy and compliance with internal processes.
  • Liaise with other departments (e.g., editorial, finance, manufacturing) to gather necessary information for contract creation.
  • Ensure executed contracts are filed correctly and accessible in digital contract management/storage systems.
  • Respond to internal inquiries regarding contract terms, status, and documentation.

Requirements

  • Proficiency in contract drafting and negotiation.
  • Strong organizational skills and attention to detail.
  • Able to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Experience and Education:
    • Experience: 1-2 years of experience in an administrative or coordinator role, ideally in a legal environment.
    • Prior work experience in a publishing or media company.
    • Education: Bachelor’s degree or equivalent work experience.

Qualifications

  • Knowledge, Skills, and Abilities: Proficiency in contract drafting and negotiation. Strong organizational skills and attention to detail. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Excellent verbal and written communication skills. Able to communicate ideas effectively to stakeholders involved in contracts to keep everyone apprised of contract-related matters. Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with contract management systems or databases.

Pay

Annual Salary: $60,100.00 - $68,700.00
