About the role
The Contents Project Manager oversees the execution and coordination of all contents-related restoration projects, from pack out to cleaning and delivery. This role ensures workflow efficiency, customer satisfaction, and compliance with job file standards while managing communications between clients, internal teams, subcontractors, and insurance representatives.
Responsibilities
- Reports to the Contents Manager for job-related items.
- Works with the Contents Manager & Coordinator to facilitate production and scheduling.
- Manages projects directly and oversees all field team members and flow of production (Pack Out, Cleaning, Pack Back, Deliveries, etc.).
- Ensures files are up to date and noted weekly with hold-ups, next steps, etc.
- Uses tasks to show next steps in the file and when a follow-up is expected to be completed; Coordinator to review and confirm a task is in every file.
- Stays in contact with insureds and referral sources while waiting for approvals and to confirm a start date; tasks the coordinator to follow up on their behalf if needed.
- Handles communications with adjusters: getting approvals (pack out, cleaning, sub-contractors, etc.), sharing information regarding scope of work, sharing reports, clarification/justification on production, problem-solving (damage control, scheduling, etc.).
- Confirms a start date with Contents Manager along with Coordinator and relays the information to the insured/referral source; Director and Coordinator assist if PM requests.
- Reviews the Pack Out Tick Sheet, Pack Back Tick Sheet, and Delivery Tick Sheet created by Coordinator.
- Monitors onsite job progress, oversees multiple sites by performing site visits, and communicates with the Foreman and Office.
- Creates the Cleaning Tick Sheet once the Pack Out has been completed and tasks Coordinator to review and keep up to date.
- Ensures the team has all materials needed and delivers missed or forgotten materials to job sites.
- Tasks any follow-ups needed by Director, Foreman, Techs, or Coordinator.
- Manages and confirms all compliance and job tasks are complete for the claim.
- Ensures file compliance in DASH, XA, and Contents Track.
- Confirms details with Foremen to correct and push reports through when review is complete.
- Manages customer communications and expectations, including customer service, damage control, reports (email completed reports once pack out is complete), and questions regarding policy.
- Updates and confirms schedules with customers after speaking with Coordinator/PRM.
- Schedules dumpster drop-off and pick-up, tasks Coordinator to send Work Order, and provides project information to vendors.
- Confirms vendors' dates are added to the calendar and noted.
- Confirms approved vendors have been added to DASH and the Customer file in the Drive.
- Confirms insured is aware of which vendors will be used and knows to expect their phone calls.
- Requests estimates/invoices from vendors once production is completed; tasks Coordinator to follow up and confirm that vendors send requested estimates/invoices and upload them to the Drive.
- For large loss or intricate jobs, meets vendors onsite to walk them through the claim and ensure they remove all requested items successfully.
- Authorized to update Warehouse Board and Warehouse Map on the computer; must note in DASH as well.
- Generates completed customer and TL reports to send to insured.
- Writes Contents Estimates and gets the file ready for the Estimator/Auditor to review and submit to the carrier.
- Handles or oversees training for all field team members.
Requirements
- Relevant experience in emergency restoration and Personal Property (required).
- Sales experience (required).
- Excellent verbal, written, and presentation skills (required).
- Full-time position.
- IICRC certifications, including but not limited to CPT, WTR, ASD, AMRT, FSRT.
- Ability to work independently and multitask in a busy environment.
- High School Diploma, GED, or equivalent.
- Strong management, delegation, planning, and leadership skills.
- Valid Driver’s License.
- Must pass background check.
- Able to lift a minimum of 50 lbs.
- Proficiency in estimating software like Xactimate.
- Frequent walking, standing, bending, and twisting.
- Clean-shaven face for use of respirator per OSHA regulations.
- Ability to work in tight or confined spaces.
