Key Responsibilities

  • Actively manage all documentation, shared folders, and tracking updates.
  • Create Purchase Order requisition forms for project managers.
  • Review Conflict of interest documents for all national projects.
  • Actively track numerous projects from beginning to end using a procurement tracker.
  • Collect of executed documents from subcontractor such as: Certificate of insurance, Release of liens, Purchase Order contract, Terms and Condition forms, DBA/SCA forms.
  • Process subcontractor invoices.
  • Manage and download Weston reports to the appropriate client/project folders.
  • Manage critical databases that update financials, vendors and project closeout information.
  • Manage invoices and expediting expense reporting process.
  • Track and actively communicate updates to monthly invoices, payment and expense reporting.
  • Meet Weston EHS program certifications and educational training requirements.

Skills and Experience

  • Exceptional organization skills for project data/coordination.
  • Detail oriented, fast pace, self-motivated and can multi-task.
  • Work proactively and independently.
  • Imperative to consistently follow up and follow through with vendors and team on projects (communication essential).
  • Initiative-taking (proactive steps) to investigate and problem solve for resolution when problems arise.
  • Must be able to adjust, adapt and overcome, as priorities and improvements in processes are a constant change.
  • Self-motivated and efficiently multi-task.
  • Proficient in Microsoft Office tools.
  • Experience in creating Purchase Order Requisitions.
  • Professional manner to interact with Sub-contractors and Client.

Pay

Salary Range: $81,549 - $107,791 - $133,824
