About the role

The Compliance Operations Coordinator plays a critical role in ensuring compliance-related transactions are completed accurately, efficiently, and in accordance with applicable regulatory requirements. This position supports vehicle licensing, registration, ownership documentation, and related compliance processes that help keep business operations running smoothly and legally.

This individual will work closely with government agencies, vendors, customers, and internal teams to manage documentation, resolve issues, and ensure timely processing of transactions. Success in this role requires strong organizational skills, attention to detail, customer service capabilities, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Process vehicle registration renewals and compliance transactions while meeting accuracy and service standards
  • Review, prepare, and manage title, registration, tax, and ownership documentation in accordance with jurisdictional requirements
  • Research and resolve registration, licensing, title, and tax-related discrepancies and rejections
  • Communicate with government agencies, vendors, customers, and internal stakeholders to obtain required information and documentation
  • Monitor transaction status and maintain detailed records to ensure timely completion of compliance activities
  • Verify fees, reconcile billing discrepancies, and ensure accurate invoicing related to registration and compliance services
  • Coordinate with customers regarding outstanding requirements needed to maintain legal registration status
  • Utilize internal systems and web-based platforms to process requests, manage workflows, and provide status updates

Requirements

  • Minimum 2 years of office administration, compliance processing, customer service, or related experience
  • High school diploma or equivalent required
  • Experience working within CRM platforms such as Salesforce or similar request management systems
  • Proficiency with Microsoft Office applications including Excel, Word, Outlook, and related business software
  • Experience working with web-based systems, databases, and online research tools
  • Ability to review detailed documentation and maintain a high level of accuracy in transaction processing
  • Strong analytical and problem-solving skills with the ability to resolve complex issues independently
  • Excellent written and verbal communication skills with the ability to interact professionally with customers, vendors, and government agencies
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Self-motivated team player with a proactive approach to customer service and continuous improvement

Preferred Skills

  • Experience supporting compliance, registration, licensing, title, tax, or document processing functions
  • Experience reconciling invoices, fees, or transactional records
  • Knowledge of regulatory documentation and government agency processes
  • Ability to build productive relationships with vendors and external partners
  • Demonstrated ability to negotiate solutions and achieve positive customer outcomes

Pay

$26-28 per hour

Schedule

  • 6-month contract
  • Five days onsite Monday through Friday in Schaumburg, IL (local candidates only)
