About the Role
The Communications Specialist acts as the primary link between patients and the healthcare team, handling a high volume of incoming calls and text messages, scheduling appointments, registering new patients, and directing communications to physicians and staff. The ideal candidate will have a clear, professional speaking voice and enjoy assisting patients with empathy and efficiency.
Responsibilities
- Answer incoming calls and texts promptly, greet callers with empathy, and provide accurate information about office hours, locations, services, and general inquiries.
- Schedule, reschedule, and cancel patient appointments using the electronic medical record (EMR) system and other scheduling tools.
- Verify and enter patient demographic and insurance information when scheduling appointments and creating charts in the EMR system.
- Route calls and messages to clinical and non-clinical staff, transcribing detailed messages regarding clinical triage, procedure scheduling, and other requests while following established guidelines for routine and urgent routing.
- Document phone and text interactions in the patient’s electronic chart with attention to spelling, punctuation, and grammar.
- Perform other duties as assigned.
Requirements
- At least one year of call center or customer service experience.
- Accurate typing, spelling, grammar, and computer keyboarding skills for documenting and routing calls in electronic medical records.
- Training on the computerized phone system will be provided.
Preferred Qualifications
- Familiarity with basic medical terminology and health insurance structures (HMO, PPO, Medicare).
- Experience using EMR/HER software.
- Strong active listening skills and patience when handling upset or sick callers.
- Strong verbal communication skills.
- Previous experience as a Call Center Specialist, Customer Service Representative, or Medical Receptionist.
Physical Requirements
- Ability to remain seated for extended periods while performing computer and telephone-based work.
- Frequent use of hands and fingers for typing, data entry, and operating standard office equipment.
- Effective communication via telephone, video conferencing, email, and other electronic platforms.
- Visual ability to read and review information on computer screens and electronic documents for prolonged periods.
- Ability to occasionally lift, carry, or move office equipment or materials weighing up to 10-15 pounds.

Pay
