Commercial Loan Administrative Associate

Responsibilities

  • Cook up loan closings and make sure all necessary fees are paid and documents are ready.
  • Close loan transactions or join commercial real estate closings if needed.
  • Submit loan documents to Commercial Loan Servicing with necessary supporting info to ensure correct booking of loan(s).
  • Handle visitors; direct them to the right person or assist them directly by getting info, setting up appointments, or referring them to the right person.
  • Tackle phone calls; take messages and utilize the bank's core information system to answer internal and external questions.
  • Sort and route mail; evaluate and handle as necessary.
  • Draft, proofread, and distribute communications like standard letters/memos within scope of authority or in officers' absence.
  • Prepare and distribute operational or departmental reports (like Business Development, Board of Directors, and Credit Committee).
  • Order departmental supplies and manage purchasing.
  • Organize and maintain records, files, documents, correspondence, forms, reports, and other related information, often of a confidential nature.
  • Keep track of file declinations.
  • Help officers with community, professional, and activity materials.
  • Make travel and hotel reservations as directed.
  • Offer assistance to lenders and staff as needed.
  • Process miscellaneous 'department' expenses, arrange for department birthdays, and update departmental phone listings.
  • Follow through on special projects, assignments involving research and analysis.
  • Act as a liaison between Senior Officers and staff.

Qualifications

  • A high school diploma or GED equivalent.
  • Minimum of three (3) years’ experience in related positions or comparable continuing education coursework.
  • Proficient interpersonal and communication skills.
  • Proficient organization and prioritization skills.
  • Proficient composition and proofreading skills.
  • Proficient in Microsoft Office and Data Management skills (Word, Excel, Lotus Notes).
