General Duties

Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.

Responsibilities

  • Handle confidential student information with care, adhering strictly to FERPA privacy and compliance regulations.
  • Provide customer service to students, faculty and staff by responding to inquiries via email, phone, and in person regarding graduation requirements, degree audits and academic records.
  • Review student records for completeness and identify missing graduation requirements for preliminary evaluations.
  • Support diploma distribution, including coordinating in-person pickup and verifying student identification.
  • Aid with commencement preparation, Graduate Salute, and other graduation-related events.
  • File and maintain electronic and physical records in accordance with departmental procedures.
  • Generate reports from CUNYFirst, DegreeWorks, and Microsoft Excel to support degree audit, graduation operations and duplicate diploma processing.
  • Perform other duties as assigned.

Qualifications

  • Must demonstrate sufficient skills to perform the duties of the assigned tasks.
  • Ability to interpret and follow established policies, procedures and guidelines related to academic records, graduation requirements and degree completion processes.
  • Ability to perform data entry accurately and efficiently while identifying discrepancies and escalating issues when necessary.
  • Strong written and verbal communication skills.
  • Attention to details and organizational skills.
  • Proficiency in Microsoft Office applications (MS Word, MS Excel, MS Outlook).
  • Experience in higher education, CUNYFirst/PeopleSoft, DegreeWorks, student services, or administrative support is preferred.
  • Ability to work independently while managing multiple priorities in a fast-paced office environment.
