Responsibilities
- Responsible for all aspects of rent collection & Landlord / tenant relations.
- Makes calls and sends letters to residents regarding arrears before referring to Legal Counsel.
- Responds to resident inquiries regarding case status and ledger matters.
- Liaises with Accounting Staff regarding ledger matters.
- Analyzes resident ledgers for accuracy and suggests adjustments as needed.
- Researches and resolves payment discrepancies and resident queries as needed.
- Tracks and enforces payment plans and consents.
- Prepares and delivers resident communications to encourage timely payment of charges and facilitate collection of delinquent accounts.
- Oversees the preparation and delivery of a “new resident” orientation program for all assigned properties.
- Oversees and participates in resident meetings to review account balances, rent court status, delinquency history, and any topics related to their ability to meet financial obligations.
- Monitors Delinquency Memos as a tool to oversee the collection process on multiple sites and enters memos when directly acting on a specific resident account.
- Timely files failure to pay rent complaints and warrant of restitution with the court and schedules evictions with Sheriff or Constable’s office.
- Ensures landlord tenant cases are moving forward with court timelines.
- Confirms with Management cases to move forward with law firms for non-payment cases/holdovers.
- Works with Construction Managers to gather documentation to commence non-payment and holdover cases.
- Ensures all affidavits are executed by the appropriate parties and sent to outside counsel.
- Reviews monthly attorney bills for any discrepancies, account reviews, and validations of charges.
- Uploads court stipulations and updates tenant records/files on Yardi.
- Updates court dispositions on Yardi with any relevant court dates.
- Tracks warrants and evictions and updates tenant records/files on Yardi.
- Gathers and provides all necessary documents for DHCR (Division of Housing and Community Renewal) complaints/cases required by outside counsel.
- Updates shared DHCR files, court documents, and correspondence to Yardi.
- Maintains accurate reports of DHCR cases.
- Updates reporting on legal cases in Yardi.
- Maintains monthly reports on all outstanding severed rents and fees.
- Runs monthly arrears reports for new rent demands.
- Updates tenant’s status on Yardi.
- Prepares other reports as needed.
- Updates and prepares documentation for access and repair issues.
- Updates CM with repair requests and access dates required by court stipulations.
- Sends out initial notices for non-payment (5-day notices), as needed.
- Aids CMs and ACMs with standard notices for lease violations.
- Prepares payment agreements.
- Prepares riders and early termination agreements with appropriate review by counsel.
- Prepares concession agreements with appropriate review by counsel and guidance from CM, AM.
- Prepares surrender agreements for move out inspections.
- Prepares other agreements, correspondence as needed.
Qualifications
- Minimum 3 years of experience in legal administration.
- Knowledge of the NYC residential market.
- Knowledge of NYC landlord laws.
- Proficient in Microsoft Office Suite.
- Strong written and verbal communication skills.
- Great customer service skills.
- Able to learn and work with property management applications.
- Quick learner and great attitude.
- Able to effectively present information and respond to questions from management, vendors, and associates.
- Able to work collaboratively in a dynamic environment where adaptability is imperative.
- Strong written and oral skills.
- Accurate with a strong attention to detail.
- Proficient in Microsoft Office Suite.
