About the role

The CIDER Administrative Coordinator supports the daily operations of CIDER by providing administrative, scheduling, event coordination, and financial support. This role manages calendars, meetings, interviews, events, visitor logistics, and administrative processes to ensure efficient program operations. The coordinator also assists with financial transactions, recordkeeping, and program administration for research, training, and outreach activities. Working closely with CIDER leadership, the position helps ensure the successful execution of CIDER initiatives and programs.

Responsibilities

  • Coordinate logistics for seminars, workshops, campus visits, professional development events, and other CIDER programs.
  • Manage calendars and scheduling for meetings, interviews, workshops, and program activities.
  • Arrange meetings and coordinate schedules for faculty, candidates, fellows, visitors, and external partners.
  • Maintain administrative records, contact databases, mailing lists, and program files.
  • Support STARS Program recruitment and selection processes, including outreach, application review, assessment coordination, interview scheduling, and candidate communications.
  • Assist with STARS Program administration through file management, calendar coordination, payment processing, and deliverable tracking.
  • Cook up logistics for STARS Fellows' U.S. visits, including travel, visa support, programming, and cohort-building activities.
  • Assist with pre-doctoral recruitment efforts by organizing applications, coordinating interviews, and working with faculty and HR.
  • Support onboarding activities for pre-doctoral researchers, including visa documentation, workspace setup, and equipment coordination.
  • Process purchases, reimbursements, contracts, stipends, advances, and other routine financial transactions.
  • Maintain financial records and provide expenditure tracking reports.
  • Prepare budget summaries and financial reports for management review.
  • Research and distribute funding opportunity information to faculty and STARS Program alumni.
  • Provide administrative assistance across CIDER programs and operations.
  • Aid in communications, website updates, and special projects.

Requirements

  • Associate's degree and 2–4 years of administrative, program coordination, or operations experience (or equivalent combination of education and experience).
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Experience coordinating schedules, events, meetings, and logistics with strong attention to detail.
  • Proficiency with Google Workspace, Microsoft Office Suite, and other office technology tools.
  • Ability to work independently while collaborating effectively within a team environment.
  • Strong interpersonal skills and ability to build professional relationships with faculty, students, and external stakeholders.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Demonstrated commitment to inclusion, belonging, and wellbeing.

Qualifications

  • Bachelor’s degree and 4-8 years of relevant administrative, program coordination, or operations experience (or equivalent combination of education and experience).
  • Experience supporting academic programs, research centers, or higher education environments (e.g., familiarity with Cornell University systems and processes).
  • Experience coordinating recruitment processes or fellowship/program selection workflows.
  • Familiarity with basic financial processes such as reimbursements, purchasing, or budget tracking.
  • Experience supporting event planning, including multi-day events or participant travel logistics.
  • Experience working with international participants, including basic familiarity with visa processes.
  • Comfort with data tracking and organization (e.g., spreadsheets, trackers, or lightweight databases).
  • Interest in international development, economics, or related fields aligned with CIDER’s work.

Skills

Pay

This is a fixed-term, part-time position (20 hours per week) with an initial one-year appointment. The position is based in Ithaca, NY, and requires full on-site work. Core business hours are Monday through Friday, from 8:00 a.m. to 4:00 p.m., with the specific work schedule determined in collaboration with the supervisor. Renewal of the appointment beyond the initial term is contingent upon funding availability, business needs, and satisfactory performance.
