About the role

A Clinical Administrative Assistant is a vital, hands-on member of the care team who works directly with patients and providers in clinics, hospitals, and specialty practices. This role offers real-life clinical exposure, mentorship, and physician shadowing, preparing you for paid, patient-facing clinical experience before medical, nursing, or PA school.

Responsibilities

  • Maintain efficient patient flow
  • Ensures proper preparations for patient visit
  • Prepares pertinent information needed for patient visits
  • Schedules appointments
  • Answers phones, triages phone calls
  • Communicates between administrative team, clinical staff, and providers
  • Diagnostic staff, patient assistant team, security staff, and providers
  • Communicates and explains required forms and paperwork required at check in
  • Verifies active insurance, in/out of network eligibility, and authorizations
  • Collects copays, coinsurance, and outstanding balances
  • Adheres to and explains financial policy to patients as needed
  • Verifies, enters, and updates patient demographic information
  • Connects patients with delinquent accounts to patient representatives to set up financial agreements and answers billing questions
  • Manages physicians' calendars, schedules meetings
  • Maintains and updates physicians CVs
  • Maintains and updates expiration dates related to licensure, certifications, dues, and subscription renewals for assigned faculty
  • Collaborates in coordinating business travel arrangements, managing itineraries, registration to conferences, etc.
  • Facilitates specialized activities, events, and projects
  • Initiates purchasing requests for food, supplies, or equipment as needed
  • Keeps management informed of high-risk situations
  • Maintains HIPAA compliance
  • Opens/closes the practice for the day

Requirements

  • High school diploma or equivalent
  • At least 18 years old and authorized to work in the U.S.
  • Proof of vaccinations (may be required)
  • Fluent in English (reading, writing, speaking)
  • Strong listening and communication skills
  • Flexible schedule availability
  • Ability to stand, sit, and use a computer for several hours a day
  • Access to a laptop (you’ll be provided one after training but need your own for training)

  • Basic understanding of medical terminology and HIPAA regulations

Pay

$17.25 per hour, depending on qualifications, experience, and geographic location.
