About the Role
The Clinic Coordinator provides administrative coordination and support to the School-based Health Center (SBHC). The Coordinator manages patient registration, scheduling, and check-in, and serves as the main site contact for school partner referrals and coordination. The role involves working with the Program Manager and Clinical Teams on outreach and engagement efforts to increase awareness and utilization of the SBHC among students, families, schools, and the community. When schools are not in session, the Coordinator may work a hybrid remote schedule on outreach and operations projects.
Responsibilities
- Greet patients, families, collaborative partners, and visitors in person and by phone in a prompt, courteous, and helpful manner. Respond to inquiries, take messages, and provide accurate information regarding schedules and services.
- Check in, register, and schedule patients in the practice management system. Maintain the appointment schedule and follow scheduling policies.
- Assist in managing patient flow in a timely and efficient manner. Interface with clinical teams regarding walk-in patients, cancellations, and delays to ensure smooth patient flow.
- Support monitoring and reporting of vaccine equipment temperature and status, participate in vaccine audits, and ensure up-to-date record keeping.
- Assist in outreach activities focused on promoting, integrating, and informing students, families, school staff, and the general school community about SBHC services.
- Support cross-school referral coordination and serve as the primary point of contact for referral and service inquiries from students, families, and other healthcare and basic support service agencies.
- Coordinate and/or perform basic educational outreach activities focused on health promotion and health education to students and families under the direction of a supervisor.
- Serve as a knowledge resource for students, families, and partners, and maintain collaborative partnerships with site referring agencies.
- Coordinate data collection for reports, audits, and quality reviews as assigned.
- Route or file documents and mail appropriately.
- Assist with insurance eligibility verification.
- Order interpreters and interface with outside organizations regarding patient services.
- Open and close the clinic for all business hours.
- Maintain adequate inventory of office supplies, medical and dental supplies, and clinical forms.
- Perform maintenance and troubleshoot operations of office equipment and machines, including calculators, copiers, fax machines, and printers.
- Assist with other departments and locations when called upon.
- Coordinate with CHC medical and dental department teams on additional staffing needs to maintain operations at SBHC site(s).
- Adhere to attendance standards to perform job functions for daily operations and/or continuity of patient care.
Requirements
- High school graduate or equivalent.
- Proficiency in reading, speaking, understanding, and writing English.
- Ability to work independently and in a team environment.
- Demonstrated leadership and basic management skills.
- Ability to organize, prioritize, and coordinate multiple activities and tasks.
- Problem-solving skills with creativity and ingenuity.
- Proficiency in Microsoft Office Applications (Word, Excel, Outlook).
- Knowledge of medical terminology.
- Ability to develop meaningful relationships with students, school staff, and families.
- Ability to build successful interpersonal relationships with diverse populations, including leaders, clinicians, school staff, and community-based organizations.
- Ability to understand and maintain productivity expectations and generate solutions to overcome barriers.
- Excellent verbal communication and customer service skills.
Preferred Qualifications
- Associate or bachelor’s degree in a healthcare-related field, or equivalent experience working 2+ years in a healthcare setting.
- Bilingual skills.
- 1 year of experience with Electronic Health Record (EHR) and/or Electronic Practice Management Systems.
- 1 year of experience working with low-income, diverse populations.
