About the role

The Clinic Clerk ensures efficient and courteous registration, transfer, and discharge of patients while maintaining accurate patient records and account receivables.

Responsibilities

  • Greets patients courteously, determines their needs, and offers assistance.
  • Registers patients by preparing records, reports, notices, service charge slips, and payor information.
  • Interviews patients, relatives, or others to determine payment arrangements and refers unusual cases to a supervisor.
  • Assists self-pay patients in arranging payment for balances beyond initial deposits or third-party payments.
  • Answers inquiries about patient accounts and advises on insurance benefits.
  • Receives payments, issues receipts, and ensures proper accounting for all funds.
  • Posts charges and payments to patient accounts daily.
  • Bills patients routinely within established policies and procedures.
  • Determines billing methods for third-party payors and maintains required registers for Medicare, Medicaid, and others.
  • Contacts insurance carriers/agencies to obtain precertification for ancillary, admission, and surgical procedures.
  • May transport patients in wheelchairs.
  • Operates office equipment such as copiers, fax machines, and communication systems.
  • Maintains income registers and reports of adjustments to accounts receivable.
  • Places and answers telephone calls, pages or contacts staff, and maintains appropriate records.
  • Keeps a record of all incoming toll-charge calls.
  • May serve as a general receptionist, providing nontechnical information or referring questions to appropriate personnel.
  • May provide general information about a patient’s condition or status under guidelines from nursing or other personnel.
  • May manage appointment schedules for clinic physicians.
  • Secures required signatures on reports and records for the release of information.
  • Assists physicians and nursing personnel as required.
  • Contacts patients, physicians, or others for information needed to complete insurance or other billings.
  • Types memos, correspondence, billing forms, and other documents as needed.
  • Maintains sufficient files, including patient charts, for efficient operation of the Business Office/Clinic.
  • Compiles periodic and statistical reports and other data as directed.
  • Maintains logs of patient charts issued and missing charts.
  • Maintains a clean and safe work area.
  • Performs other related duties as assigned.

Requirements

  • High School Diploma or GED equivalent (preferably with commercial courses such as filing, office methods, or business English).
  • Basic computer skills in Word and Excel.
  • Knowledge of medical terminology, CPT coding, and ICD-9 coding.
  • Typing speed of 60 words per minute with accuracy.
  • Ability to operate various office machines and knowledge of clerical and business procedures.
  • Strong organizational skills and ability to function well under stressful conditions.
  • Three to six months of on-the-job training required to attain proficiency.
