About the role
The Clinic Assistant II position supports the Murtha Cancer Center Research Program (MCCRP) and Center for Prostate Disease Research (CPDR) at USU Walter Reed Surgery. The CPDR is a Department of Defense designated research and clinical care center focusing on precision medicine for military service members and their families.
Responsibilities
- Answers and manages incoming telephone calls, takes and delivers messages, and provides professional assistance and information to patients, providers, staff, and external callers.
- Captures and updates patient records, maintains electronic records, and ensures accurate billing and coding.
- Schedules, reschedules, confirms, and coordinates patient appointments, procedures, referrals, and related clinic activities using MHS GENESIS and other applicable systems.
- Assists with coordinating and administrative support of multidisciplinary clinic sessions, including preparation of clinic materials, patient scheduling support, and coordination of clinic workflow activities.
- Maintains and updates departmental files, electronic records, tracking logs, spreadsheets, databases, presentations, and shared clinic resources.
- Prepares reports, meeting materials, correspondence, presentations, and other operational and administrative documents as needed.
- Maintains supervisor and provider calendars and assists with scheduling meetings, conferences, and clinic-related activities as necessary.
- Supports organizing, initiating, and completing departmental and operational projects in support of clinic activities and organizational priorities.
- Provides administrative and operational support to providers, nursing staff, research staff, and clinic leadership to ensure continuity of clinic operations and patient services.
- Assists with maintaining office supplies, clinic forms, educational materials, and other departmental resources necessary for daily clinic operations.
- Performs typing, proofreading, data entry, scanning, filing, and other clerical and administrative support duties as assigned.
- Demonstrates professionalism, strong customer service skills, effective communication, and the ability to work collaboratively in a fast-paced clinical environment.
- Maintains reliable attendance, punctuality, and proactive communication to support continuity of clinic operations and patient care activities.
- May perform additional duties and responsibilities as assigned by the supervisor in support of clinic, research, and operational needs.
Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
- Minimum of 3-5 years of administrative, clinical administrative, healthcare support, or customer service experience required.
