About the Role

As a Client Service Specialist, you will develop and maintain effective relationships with ADP clients, serving as the direct contact for retirement plan services. You will communicate with clients regarding service delivery, assist with day-to-day retirement plan administration, troubleshoot plan issues, and discuss the impact of legislative requirements to ensure optimal service, client satisfaction, and retention.

Responsibilities

  • Act as the primary contact for retirement plans regarding day-to-day recordkeeping matters and provide prompt customer service.
  • Proactively communicate regularly with clients to evaluate and ensure delivery of optimal service, client satisfaction, and retention.
  • Apply working knowledge of 401(k), call center operations, relationship management, or similar experience to resolve client inquiries.
  • Demonstrate understanding of testing, system relationships, workflow, and payroll feeds; escalate issues appropriately.
  • Apply strategies for plan enhancements, additional business, and retention, discussing benefits with clients.
  • Maintain a basic understanding of retirement plan investments and serve as a conduit for client questions.
  • Proactively discuss products, services, and plan design with plan sponsors.
  • Assist clients with plan changes and ensure project plans are followed through to completion.
  • Schedule participant education workshops and CGT training for plan administrators.
  • Communicate compliance testing results and recommend options for improvement if necessary.
  • Monitor plan documents for adherence to applicable rules and regulations.
  • Assist clients with year-end requirements, such as minimum distributions, forfeiture reallocation, 5500 preparation, and audit package reconciliation.
  • Initiate proactive conversations with clients regarding compliance testing, training, and plan design.
  • Review client criteria for plan reviews and proactively contact clients to discuss retention strategies.
  • Coordinate with internal business partners to ensure seamless transitions for new clients.
  • Organize follow-up on key initiatives to meet client expectations and deliverables.
  • Provide feedback to management on proactive initiatives and suggest improvements.

Requirements

  • Bachelor’s Degree (December 2025 or May 2026 graduates preferred).
  • At least one year of experience in a customer service environment or as an HR/HRIS practitioner with systems experience.
  • Ability to work overtime during peak seasons.

Preferred Qualifications

  • Experience in a client service environment, ADP payroll, or 401(k) experience.
  • Strong oral and written communication skills, including active listening.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn proprietary tools (Omni Plus, Power Image, Clarify).
  • Ability to learn quickly, work in a fast-paced environment, and manage multiple projects simultaneously.
  • Proven relationship-building, time-management, and problem-solving skills.
  • Strong presentation skills and ability to lead conference calls.
  • Ability to gauge client satisfaction through surveys, visits, and daily interactions.
