Client Services Representative

About the role

The Client Services Representative acts as the first point of contact for clients at the DVIS headquarters and provides front desk administrative and clerical support duties.

  • Customer Service: Maintain a high level of professionalism while greeting visitors, answering calls, and routing clients to the appropriate internal or external resources. Schedule counseling appointments, check clients in, and manage waitlists, referrals, and documentation.

Responsibilities

  • Input, update, and maintain client files and computer records.
  • Maintain and document DHS referrals received through e-Intervention and Outlook.
  • Print and provide referrals to assigned clinical staff.
  • Perform check-in duties, including receiving payments and providing receipts.
  • Assist clinical staff and other departments with file maintenance.
  • Provide general clerical support, including mail routing and supply/donation distribution.
  • Research client/case information using the OSCN website.

Requirements

  • Completion of high school degree or equivalent, or any equivalent combination of education and/or experience.
  • 1 year of experience in a fast-paced front office setting (nonprofit experience preferred).
  • Ability to communicate effectively in English (Spanish preferred), both in person and in writing.
  • Basic computer skills, including Microsoft Office Suite (database experience preferred).
  • Strong organizational, written, and oral communication skills, with attention to detail.
  • Ability to prioritize work, meet deadlines, and adapt to a fast-paced, multi-tasked environment.
  • Commitment to DVIS’ philosophies of diversity, inclusion, equity, and anti-racism.

Preferred Qualifications

  • Knowledge of or experience working with social justice issues, including intimate partner violence, gender-based violence, post-traumatic stress, rape trauma, and racial, class, gender, and sexual orientation issues.
  • Current CPR and First Aid certification.

Schedule

Monday through Friday, 8:30 am to 5:00 pm, with occasional evenings.
