Position Summary

The Client Services Coordinator leads field staff in providing excellent customer service and quality home care, with a focus on coordinating client services, growing and developing the caseload through relationship building and recruiting efforts, and managing ongoing case needs.

Responsibilities

  • Develop and grow a caseload by building long-term relationships with clients, referral sources, payors, and community organizations.
  • Handle incoming service inquiries, establish service agreements, and coordinate authorizations and payor-related details with clients, internal teams, and clinical partners.
  • Support recruitment of field staff by managing prospect inquiries, participating in recruitment planning, interviewing candidates, and helping onboard new hires.
  • Schedule appropriate field staff, coordinate services, manage call-outs, and maintain reliable coverage for clients using sound judgment and discretion.
  • Follow up with clients, families, and employees to ensure satisfaction and address questions or concerns related to service, scheduling, and billing.
  • Document incidents, complaints, and key client or employee interactions and follow through on needed next steps.
  • Maintain effective fiscal management of the caseload, including payroll processing, billing support, and monitoring key metrics such as gross margin, overtime, and unfilled hours.
  • Partner with clinical managers to support field employees through feedback, performance evaluations, recognition, and retention efforts.
  • Support the office team by assisting with last-minute service needs, participating in meetings and events, and helping keep office operations running smoothly.

Qualifications

  • Four-year college degree required or equivalent health care experience.
  • Strong interpersonal skills and a demonstrated track record of goal achievement.
  • A history of taking on increasing responsibility with positive results and a strong desire to grow.
  • Prior supervisory experience highly desired.
  • Home care, health care, recruiting, staffing, or related experience preferred.
  • Basic PC proficiency and strong written and verbal communication skills in English.
  • A strong sense of urgency, excellent follow-up skills, organization, attention to detail, and comfort working in a fast-paced, service-focused environment.
