Job Overview
We are looking for a Client Service Specialist in Boston, MA to support the office's advisors and their clients, while also performing general administrative tasks as needed.
Responsibilities
- Provide comprehensive client service for the firm's clients and support for advisors.
- Corresponding with clients (electronically and verbally), opening accounts, facilitating asset transfers, processing money movements, drafting letters of instruction, liaising with custodians, accountants, and other professionals, etc.
- Ensure the accuracy and timeliness of work, including documenting, completing, and tracking completion of client related tasks and properly updating system software with client and other related information.
- Initiate workflow processes and ensure that checklists are generated and completed for meetings. This includes onboardings, comprehensive reviews, discovery meetings, terminations, etc.
- Prepare for client meetings. This includes generating reports and any other documents advisors may need for their meeting. May attend client meetings in a technical, supporting or learning role.
- Monitor client account activity, research and resolve issues, and follow-through to ensure client's needs are met.
- Update and maintain Service Team training guides as necessary.
- Organize, scan, and maintain all client paperwork.
- Aid in greeting clients and visitors, screening and transferring calls, and scheduling meetings.
- Multi-task, organize, and complete all other projects as assigned by management, prioritize projects, client needs, and office procedures.
- Preserve client confidentiality.
Qualifications
- Associate's Degree, at a minimum
- Minimum of 3+ years of experience in an RIA firm or financial services field
- Intermediate finance and custodian knowledge
- Strong sense of professionalism and discretion required
Skills and Competencies
- Proven analytical and problem-solving skills
- Working knowledge of planning strategies and solutions
- Highly proficient in financial planning software and computer software, including the Microsoft Office Suite
