Schultz Collins is a non-discretionary investment advisor registered with the SEC through Hightower Advisors, LLC and located in Orinda, California. As a non-discretionary advisor serving clients around the United States, we provide analysis on securities, portfolios and selective estate planning subjects; then work side-by-side with our clients to assist in the decision-making process. Where appropriate, we execute those decisions on their behalf. We rigorously adhere to the fiduciary standard and are nationally known for our deep knowledge and experience with fiduciary issues. As fiduciaries, we are legally and ethically obliged to act in the client's best interest. We started serving clients in 1995 and, as of 2026, we provide advice on approximately $1.7 billion in client assets.
The Role
We are seeking a Client Service Associate who enjoys being part of a tight-knit team, working with clients, can navigate multiple technology platforms and databases, can understand and explain forms and documents, is organized, a clear communicator, an effective multi-tasker, and can assist with several projects at once. This position requires someone who will be comfortable reaching out to clients and advisors when items need to be addressed, and wearing many different hats.
What You'll Do
- Help clients with paperwork and technology needed to provide service
- Support our advisors by setting up client accounts, preparing client deliverables, and addressing client inquiries
- Help onboard new clients and offboarding terminated clients by preparing client files, setting up file structures, gathering documents and inputting information into database systems
- Prioritize and organize workflow, and corroborate all facets of the operation of client accounts
- Work with the trading department through the entire trading process, including tracking trades, reviewing trades, administering client cash flows, troubleshooting errors, and maintaining the trading system
- Some basic invoicing and billing to support our accounting department
- Review and process vendor invoices and employee expense reports
- Monitor the progress of a variety of projects (client trades, outgoing articles, video production, client onboarding, etc.) and help resolve any issues that may arise
- Help deliver client communications and help implement marketing plans
- Support administrative tasks and office support, including answering phone calls, monitoring email addresses, maintaining database records, scheduling client events, and sorting, filing, printing, binding, or mailing of documents
What You'll Bring
- Working knowledge of financial accounts, documents, forms, and several technology platforms
- The ability to work in a fast-paced, results-oriented environment
- The ability to work effectively in a team environment; while also being a self-starter and able to work independently
- Experience with DocuSign, Concur, Salesforce, and Black Diamond
- Detail-oriented mind-set with ability to prioritize and organize workflow
- Flexible, eager to learn, and willingness to take on new tasks
What We Offer
- Hybrid remote and in office work (2-3 days in the office)
- Salary range: $70,000-$80,000 per year
- Bonus program based on both individual and company performance
