Client Service Administrator Team Lead
About the role
Schlaupitz Madhavan, P.C. (SMCPA) is a growing CPA and advisory firm recognized for its collaborative culture, high standards, and commitment to excellence. We’re seeking an Administrative Lead to provide leadership and day-to-day oversight for the Client Service Administrator team while delivering executive administrative support to firm leadership.
Responsibilities
- Work closely with the Director of Operations to improve administrative processes, increase consistency, and support team effectiveness.
- Daily oversight and support of the Client Service Administrator team to ensure administrative functions are completed accurately and timely.
- Maintain full working knowledge of CSA team tasks and provide hands-on support as needed to meet internal workflow deadlines.
- Provide ongoing training for current CSA team members and support onboarding for new administrative team members.
- Oversee project workflows and partner with professional staff to identify and resolve issues.
- Clock in executive administrative needs for firm leadership, including the Managing Director, CHRO, Director of Operations, and Training Team.
- Clock in facilities support and provide office oversight across locations as needed.
- Support the onboarding of new clients and maintain accurate client profile information.
- Update the administrative handbook, document and assist with the development of improved standard operating procedures and best practices.
- Perform other duties and special projects as assigned.
Requirements
Minimum of seven years of administrative, office management, or related professional office experience preferred. Supervisory, team lead, or strong administrative leadership experience strongly preferred. Experience in a CPA firm, accounting firm, or professional services office preferred. Associate degree, certificate in business, business administration coursework, or equivalent combination of education, training, and experience preferred. Self-starter with strong initiative and follow-through. Highly organized with the ability to prioritize competing deadlines. Strong critical thinking, problem-solving, and decision-making skills. Ability to lead by example, train others, and support team accountability. Comfortable developing standard operating procedures and documenting best practices. Process-oriented mindset with a desire to improve workflows and create consistency. Professional communication skills and ability to work effectively with leadership, administrative staff, and professional team members. Strong technology skills, including Microsoft Office and familiarity with client portals, e-signature tools, electronic delivery systems, and project management systems. Flexible, service-oriented approach with willingness to step in where needed.
Qualifications
Physical Requirements: This role operates in a professional office environment and routinely uses standard office equipment. The position may require sitting or standing for extended periods, working at a computer, communicating in person and by phone, and occasionally lifting or moving standard office materials.

Schedule
Based in Troy, travel to Ann Arbor and Bingham Farms as needed. Expected in Ann Arbor about two days per week when local coverage is unavailable. Periodic Bingham Farms travel required for administrative and facilities support. General business hours are 8:30 a.m. – 5:00 p.m., with seasonal overtime required during peak periods, including longer hours and occasional weekends.
