About the role

The Client Operations Analyst is part of the Client Operations team, responsible for carrying out various investment-related tasks assigned by the firm’s consultants. The Analyst will work primarily with Altair’s consulting team, third-party account custodians, and third-party investment managers, with some interaction with clients during task completion. Analysts are accountable for their queue of tasks for an assigned set of Altair clients.

Responsibilities

  • Implement new client accounts, including preparing all necessary paperwork (custodial contracts, manager forms, client information sheets, transfer forms, termination letters for existing managers, cost basis requests, and other authorization letters).
  • Facilitate and track account transfers, monitor transfers of cash/securities, reconcile assets and cost basis at the new custodian/account.
  • Manage tasks to effect portfolio reallocations as instructed by consulting staff:
    • Buy or sell Mutual Funds, ETFs, stocks.
    • Raise cash from investment managers.
    • Transfer money among accounts.
    • Coordinate with custodial banks and separate account managers to establish client accounts.
    • Review and approve contracts prepared by the Client Operations Associate.
    • Send new client information sheets and supporting documents to managers.
  • Monitor and ensure sub-account openings in specific foreign markets for global accounts.
  • Prepare and process updates to client account information.
  • Act as liaison between consultants and custodians/managers.
  • Arrange and facilitate movement of funds between client accounts, money managers, and custodians.
  • Request cash disbursements (wire transfers, journals, moneylinks) and security transfers.
  • Implement trading instructions for ETFs, Mutual Funds, and stocks.
  • Coordinate with investment managers for cash and securities availability for transfer.
  • Review and approve wire instructions to/from hedge funds and other limited partnerships.
  • Facilitate client requests regarding wire transfers, change of address, and other administrative matters.
  • Perform account maintenance:
    • Update account profile information (addresses, legal titles, authorized signers, trustees, web access, reinvestment options, beneficiaries).
    • Facilitate interclass exchanges and corporate actions processing.
    • Close client accounts, prepare necessary paperwork, monitor transfers, and reconcile as needed.
    • Monitor, track, and retain all required paperwork.
  • Assist in training new team members.
  • Perform other client portfolio duties and tasks as assigned.
  • Participate in independent projects for the consultant group, such as:
    • Compiling client data into a central database.
    • Reviewing documentation for completeness and preparing missing documentation.
    • Improving processes as deemed necessary by the Client Operations Team and Manager.

Requirements

  • Bachelor’s degree preferred.
  • 3+ years of experience in the financial or professional services industry, preferably in an operational or service capacity at a RIA, family office, investment manager, or brokerage firm.
  • Prior experience working with an investment custodian, broker/dealer, or investment manager.
  • Proficiency with Microsoft Office (Outlook, Word, Excel), Adobe Reader, and SharePoint.
  • Excellent communication and organizational skills to carry out instructions that may change after submission.
  • Meticulous attention to detail, analytical, and problem-solving skills.
  • Strong interpersonal and verbal communication skills to keep team members informed of progress and workload.
  • Ability to work independently and in a team environment to ensure adequate coverage.
  • Prepared, willing, and able to:
    • Prioritize workload to meet critical same-day deadlines.
    • Manage competing deadlines for different clients simultaneously.
    • Handle increased volumes at year-end and during global portfolio rebalancing.
