About the Role
Responsible for maintaining all juvenile probation case files in the central file room in an orderly sequence. Provides backup relief to receptionist and assists with mail and general office duties.
Responsibilities
- Files, retrieves, and maintains case files in an orderly sequence in the file room and in preparation for offsite storage.
- Files documentation in juvenile case files.
- Utilizes computer to record, store, and retrieve information including the Tarrant County Juvenile Case Management System (JCMS) and the OnBase System.
- Logs and prepares files for storage and requests stored files from the warehouse.
- Determines, reviews, prepares, and refers files for scanning and destruction.
- Copies or scans documents and files as requested.
- Provides backup relief to receptionist by answering multi-line phone system and checking in clients, victims, and attorneys for court.
- Assists with sorting, metering, and delivering mail.
- Assists with overflow of general office clerk duties.
- Performs all other related duties as assigned.
Requirements
- High school diploma or equivalent.
- Six months (6) related work experience.
- Basic data entry, keyboarding, word processing, and general computer skills.
- Accuracy in filing and assignment of numbers to juvenile case files.
- Ability to function as a team member, sharing responsibilities as needed.
- Good interpersonal and communication skills in dealing with the public, employees, other County departments, the judiciary, and defense bar.
- Ability to handle confidential information regarding County business and client records.
- Valid driver’s license and ability to drive a County van.
- Eligibility to become certified as a notary public.
- Bilingual in Spanish preferred.
Physical Demands and Work Environment
While performing the duties of this position, the incumbent is regularly required to sit, stand, walk, bend, stoop, climb, lift, push, pull, climb, and reach. There is occasional dust when pulling files and records. The office is occasionally noisy due to high traffic volume.
