Responsibilities
- Call patients to remind them of scheduled appointments, reschedule 'no show' appointments, and verify demographic information for billing purposes.
- Prepare charts and encounter tickets for scheduled clinics in accordance with written policies and guidelines.
- Register patients accurately and maintain demographic information in the electronic health record (EHR).
- Greet patients and visitors professionally and courteously.
- Schedule, reschedule, and confirm patient appointments.
- Collaborate with providers, nursing staff, and other departments to ensure seamless patient access and care coordination.
- Obtain demographic and insurance information.
- Verify insurance eligibility, benefits, and prior authorization requirements.
- Obtain insurance and medical records release authorization in accordance with HCFA guidelines and Risk Management policies.
- Check patients into clinic and notify them of non-covered services being rendered.
- Check patients out of clinic and review encounter tickets for completeness and accuracy of CPT and ICD-9 codes; follow up with providers when appropriate coding end documents are not available.
- Key all charges into the computerized billing system.
- Collect patient co-payments or balances due on account and enter payments into the system.
- Answer patients' inquiries regarding fees and payments.
- Print bills on demand for patients requesting them at time of service.
- Track encounter tickets daily to ensure all clinical activities are posted, 'no show' and 'canceled' patients are correctly recorded, and charges, payments, and deposits balance.
- Schedule patient appointments for faculty and other medical providers in accordance with written policies and guidelines.
- Answer telephone inquiries and provide basic information regarding physician qualifications, available appointment times, directions, and billing requirements.
- Screen telephone calls and connect patients to staff most qualified to handle inquiries outside the scope of this position (e.g., medical, legal, compliance issues).
- Verify referral authorizations for clinical activities.
- Generate referral authorization requests to other specialists following written policies and procedures.
- Maintain medical records, file clinical data, referrals, inpatient records, and test results daily.
- Process all medical records requests, disability forms, and subpoenaed records according to HIPAA and Risk Management guidelines and policies.
- Utilize the health network information system for patient registration, scheduling, check-in/check-out, and collecting copayments, deductibles, and other patient financial responsibilities following appropriate cash handling policies.
- Maintain confidentiality of patient information in accordance with HIPAA regulations.
- Complete all mandatory department, educational, and hospital requirements.
- Adhere to current Infection Control and Safety Standards.
- Regular and prompt attendance; ability to work schedule as defined and overtime as required.
- Perform related duties as assigned.
Requirements
- High School Diploma or equivalent and 1 year of clerical experience in an access center, customer service, or healthcare setting.
- Experience with Electronic Medical Records (preferred).
- Comparable combination of education and experience may substitute for the above requirements.
