Campus Manager (Site Supervisor)
Role & Responsibilities
- General Campus and Office Administration
- Serves as the primary campus point of contact and directs questions to the appropriate department or individual.
- Maintains an organized, clean and appropriately stocked office and common areas ensuring inventory is complete and all equipment is functioning.
- Manages student enrollment forms, information systems and platforms, attendance and related records.
- Provides administrative and operational support.
- Is the primary point of contact for student drop off and pick up and may step into the classroom to support colleagues as needed.
- Identifies and recommends process improvements to increase operational efficiency.
- Performs other related duties and provides administrative support to faculty and staff as assigned.
- Supports summer and holiday camps and facility rentals if applicable.
Communications
- Works with team to prepare event, logistical and operational communications for Silicon Valley campus families.
- Coordinates appointments and supports campus calendar management.
- Communicates and escalates operational, student or community concerns to the appropriate school leader in a timely manner.
Substitutes, Scheduling and Coverage
- Coordinates the daily duty and coverage schedules for campus faculty and staff.
- Maintains and updates relevant campus calendars and schedules.
- Covers employee absences by working with faculty, substitutes and substitute staffing agencies.
- Steps in to provide classroom, student or campus coverage when necessary and permitted.
- Affords assistance with student arrival, dismissal, breaks and other supervision needs.
Licensing and Compliance
- Maintains required Title 22 licensing files and documentation and helps ensure ongoing compliance with applicable licensing requirements.
- Supports compliance with California laws, fire-code requirements and school health, safety and security procedures.
- Maintains a current Site Supervisor Permit and other required professional credentials.
- Communicates with school leadership regarding potential licensing or compliance concerns and supports corrective action as needed.
- Cooperates with licensing representatives, government regulators and other authorized agencies during inspections and compliance reviews.
Event Management
- Collaborates with the Marketing, Communications and Events team and campus leadership to coordinate school events, meetings and community activities.
- Manages event logistics, including scheduling, campus communications, materials, refreshments or catering, room setup and cleanup.
- Coordinates staff participation and oversees parent volunteers supporting campus events.
- Helps ensure that events are appropriately staffed and conducted in accordance with campus safety and facility-use requirements.
Forms, Records and Database Maintenance
- Enters, maintains and updates information in school databases, electronic records and physical files.
- Maintains student records, family rosters, attendance documentation and campus office files in collaboration with appropriate school leaders.
- Runs reports and prepares information as requested.
- Maintains confidential, privileged and sensitive records in accordance with school policy and applicable legal requirements.
- Assists with student transcripts and other school records when assigned.
Enrollment and Family Support
- Supports enrollment and re-enrollment processes in collaboration with the Admissions and Enrollment team.
- Assists families with the completion and submission of required forms and documentation.
- Helps orient new students and families to the campus, its procedures and available resources.
- Responds to routine family questions and connects families with the appropriate department or school leader when additional support is needed.
Student Support and Supervision
- Provides students and employees with routine administrative assistance, information and required forms.
- Affords assistance with field-trip scheduling, documentation and logistical preparation.
- Supervises students sent to the office for health, behavioral or disciplinary reasons in accordance with school procedures.
- Provides classroom or student supervision when needed and when consistent with licensing, staffing and qualification requirements.
- Communicates student concerns to the appropriate school leader and supports established disciplinary and student-support protocols.
Student Health and Safety
- Administers basic first aid to students and employees within the scope of current training and school protocols.
- Dispenses medication in accordance with written authorization, prescription instructions and school procedures.
- Contacts parents or guardians regarding an ill or injured student and documents the incident as required.
- Coordinates campus emergency drills and maintains related records.
- Helps ensure that campus safety, security and emergency-response systems are functioning properly.
- Supports implementation of communicable-disease protocols and other applicable public-health requirements.
- Communicates health and safety concerns promptly to the appropriate school leader.
Facilities and Campus Operations
- Maintains the campus’s daily facilities needs in close collaboration with the Director of Facilities and on-site facilities staff.
- Reports facility concerns and coordinates the scheduling of maintenance, repairs and equipment service.
- Helps ensure that the campus is clean, organized, safe and well maintained and meets the school’s expectations for students, employees and families.
- Coordinates the use of shared spaces with partner schools, community organizations and other authorized users.
- Helps ensure that safety and security equipment and systems are operational and promptly reports concerns.
- Supports Summer Camp operations and facility rentals as needed.
- Affords assistance with planning and coordinating campus improvements and ensures that agreed-upon timelines and operational needs are communicated and monitored.
Meal Program
- Serves as a campus liaison with the food-service provider regarding operational needs, feedback and service improvements.
- Communicates relevant meal-program information to families and employees in coordination with school leadership.
Qualifications
- Current Site Supervisor Permit.
- Two years of responsible clerical or secretarial experience, preferably in a school setting.
- Valid first aid and CPR and Basic First Aid certificate EMSA compliant within six months of employment.
- Valid Driver’s License, Criminal Justice Department and Federal Bureau of Investigation Fingerprint Clearance, Physical and TB Clearance.
- Current Mandated Reporter Training (Child Care Providers, including General Training, and SB848 Child Abuse Prevention).
- Professional fluency in English required; proficiency in Italian and/or Spanish preferred.
- Experience in a school, early-childhood program or other child-centered environment preferred.

Additional Information
Start date: August 1, 2026
Salary: $80,000 annual salary, commensurate with experience and credentials.
