The Role
Kiernan Trebach LLP is seeking a full-time Calendar Clerk & Case Maintenance Coordinator to support the firm’s New York office. This role is designed to provide critical docketing, calendaring, and case maintenance support, relieving capacity strain on current staff and ensuring deadlines, filings, and case data are tracked accurately and efficiently. This is an excellent entry-level opportunity for a candidate considering a future in law or paralegal studies who wants hands-on exposure to insurance defense litigation practice.
What You Will Do
- Calendar all litigation deadlines, court dates, statutes of limitations, discovery deadlines, and filing requirements across assigned matters, working closely with attorneys and legal assistants to confirm accuracy.
- Maintain and update the firm’s case management system, ensuring case data, party information, and matter status are current and complete.
- Conduct regular audits of open files to identify upcoming deadlines, missing information, or maintenance gaps.
- Cooky with court systems, e-filing portals, and opposing counsel offices as needed to confirm dates and filings.
- Support case intake and file setup for newly opened matters, including initial calendaring of key deadlines.
- Generate and distribute deadline reports to attorneys and paralegals on a regular cadence.
- Assist with general case maintenance tasks such as file organization, document indexing, and status tracking.
- Partner with the New York Office Manager to redistribute workload and establish consistent calendaring protocols across the office.
What You Will Bring
- Bachelor’s degree is preferred but not required; candidates pursuing or interested in law school or paralegal certification are encouraged to apply.
- The ideal candidate is dependable, able to work independently, and comfortable in a fast-paced litigation environment.
- Prior office, legal, or administrative experience is a plus but not required.
- Strong organizational skills and meticulous attention to detail, with the ability to manage a high volume of deadlines accurately and simultaneously.
- Ability to prioritize competing tasks in a fast-paced, deadline-driven environment.
- Comfort with case management software and standard office technology, including Word, Excel, and Outlook.
- Clear written and verbal communication skills, with the ability to interact professionally with attorneys, staff, courts, and outside parties.
- Strong follow-through and reliability; able to work independently while knowing when to escalate issues.
- Basic understanding of, or willingness to quickly learn, civil litigation timelines and court filing procedures.
