About the role
The Business Systems Analyst plays a critical role in bridging the gap between business needs and technology solutions within an organization. This position is responsible for designing and maintaining existing HubSpot Systems.
Responsibilities
- Configure and maintain HubSpot automation workflows, email templates, and forms.
- Design and implement solutions using company tools to meet business needs (HubSpot-specific: workflows, sequences, lists, custom objects, etc.).
- Conduct regular audits of workflows, lists, data, and properties to ensure optimal performance.
- Maintain data quality and consistency across multiple systems.
- Develop and enforce data governance standards for contact properties, custom objects, and workflows.
- Gather and document business requirements from stakeholders across marketing, sales, and customer success teams.
- Document system configurations and maintain technical documentation.
- Create documentation and standard operating procedures.
- Develop and execute testing plans for new configurations.
- Lead HubSpot-related projects from requirements through implementation.
- Coordinate with business, IT, marketing, and sales teams on system changes.
- Offer operational and technical support for day-to-day issues as reported.
- Stay current with HubSpot updates and new features.
- Integrate HubSpot with other business systems (CRM, marketing tools, etc.).
- Monitor data synchronization and work with the Integrations Team to resolve any integration issues.
- Create custom reports and dashboards to track KPIs and business metrics.
- Recommend process improvements based on system capabilities and best practices.
Requirements
- 3+ years administering HubSpot, with demonstrated expertise in workflows, custom objects, and integrations.
- Advanced knowledge of HubSpot's core features including Marketing Hub, workflows, sequences, custom objects, and reporting tools.
- Experience with marketing automation and CRM platforms.
- Proven experience in requirements gathering and technical documentation.
- Strong analytical and problem-solving abilities.
- Project management experience, particularly with technical implementations.
- Knowledge of marketing and sales operations.
- Excellent written and verbal communication skills.
Preferred Qualifications
- Bachelor's degree in Business, Information Systems, Marketing, or related field.
- Experience or strong interest in using AI tools (e.g., Claude, Gemini) to improve personal and business process efficiency.
- HubSpot certifications (Marketing Hub, Sales Hub, or Operations Hub).
- Experience designing scalable integration architecture (API limits, error handling, data mapping documentation).
- Familiarity with data privacy standards (GDPR, CCPA, or general PII handling).
- Data analysis and visualization skills.
- Ability to read and modify existing JavaScript or Python for custom code to support debugging and troubleshooting.
