About the role
The Business Office Assistant at Willow Creek Healthcare Center is a key member of the administrative team, supporting daily operations and ensuring compliance with healthcare regulations.
Responsibilities
- Aid in daily administrative and business office operations
- Support the Administrator, Director of Nursing, and Business Office Manager with various administrative tasks
- Perform clerical and accounting functions, including cash receipts and data entry
- Assist with payroll and human resources functions as assigned
- Maintain meeting minutes and file documentation appropriately
- Serve as a professional representative of the facility to residents, families, visitors, and community members
- Assist with incident and accident reporting and filing
- Maintain office records, reports, and correspondence
- Ensure adequate office supplies and equipment are available to support operations
- Develop positive working relationships with all departments
- Assist with special projects and administrative studies as assigned
- Maintain confidentiality of resident, employee, and facility information
- Ensure compliance with HIPAA and privacy regulations
- Report suspected unauthorized disclosures of protected health information
Qualifications
- High school diploma or GED required
- Previous administrative, clerical, payroll, HR, or business office experience preferred
- Healthcare or skilled nursing experience preferred but not required
Skills & Abilities
- Strong customer service and communication skills
- Computer proficiency required, Microsoft Excel experience preferred
- Ability to type a minimum of 40 words per minute
- Experience using a 10-key calculator and standard office equipment
- Strong organizational and multitasking skills
- Ability to maintain confidentiality and professionalism
- Knowledge of general office procedures and business practices
Physical Requirements
- Ability to sit, stand, and walk throughout the workday
- Frequent use of computers, telephones, copiers, scanners, and office equipment
- Occasional lifting and/or moving up to 25 pounds
- May be required to assist during emergency resident evacuations
