About the Role

Sun Life is executing a large-scale SharePoint retention and migration program driven by OSFI findings related to improper retention practices. With thousands of SharePoint sites globally—and ~1,200 in the U.S.—all sites must be migrated to AvePoint, a SharePoint-based platform. The project was originally estimated at 4.5–5 years for the U.S., but the Board has accelerated the timeline to end of 2027 (possibly mid-2028), creating an intensive 12–18 month execution window with 17,000+ hours of work required.

The Business Analyst IT II serves as the Escalation Lead for the SharePoint Migration Program. This role manages complex issues, escalates non-compliance or delays, coordinates with Record Stewards and Operating Committee representatives, and ensures business units complete required migration and retention tasks. This position requires polish, professionalism, and comfort engaging with director-to-AVP-level stakeholders who may be balancing competing priorities and multiple enterprise projects.

Responsibilities

  • Coordinate and, as needed, execute SharePoint site business admin tasks under the direction of the Record Officer, Record Steward, or their Operating Committee representative
  • Collect requirements, review plans and documents, and coordinate business group (BG) activities
  • Engage Record Stewards and Record Officers (or Delegates) to oversee BG-specific activities and deliverables
  • Coordinate Information and Record Steward efforts for migration/delete assessments
  • Assign BG coordinators to manage tasks and deliverables
  • Facilitate training and engagement for BG resources executing the migration work
  • Follow up with BG employees (such as Information Stewards) assigned to SharePoint tasks
  • Notify the BG’s Operating Committee member when management support is needed
  • Monitor and report progress weekly to the EDGO Project Manager
  • Manage complex escalations and ensure business units complete migration and retention tasks

Requirements

  • 2–4 years of experience, ideally in roles requiring coordination with director-level or AVP-level stakeholders
  • Strong communication skills — polished, professional, and able to navigate sensitive escalations
  • SharePoint knowledge — familiarity with site structures, parent/child sites, and basic administration
  • Advanced Excel skills — workbooks, pivot tables, and reporting automation
  • Stakeholder management — ability to work with senior business leaders who may be balancing competing priorities
  • Professionalism and polish — ability to maintain composure and clarity when stakeholders express frustration or push back
  • Self-management — ability to operate independently within a fast-moving, high-volume project environment

Role Complexity & Expectations

  • Information Stewards range from Associate Director to AVP
  • High volume of follow-ups and escalations due to competing enterprise projects
  • Must be comfortable repeatedly following up with senior leaders who may be overwhelmed or unresponsive
  • Must maintain professionalism even when stakeholders express frustration (e.g., “Jack, you’re killing me with all these projects”)
  • Must reinforce that this is a global, top-down compliance initiative with strict deadlines

Schedule

Monday–Friday, 37.5 hours/week (Flexible hours available)

$36-39/hour
