About the role
This position will analyze financial information from multiple funding sources (unrestricted, restricted and sponsored) for the purposes of providing financial strategy, direction and support resulting in recommendations to the Department Chair/Associate Dean and related stakeholders (Maxwell professional degree programs, executive education, and non-credit programs).
Responsibilities
- Work in partnership with the Associate Dean/department chair to determine financial strategies with key stakeholders including but not limited to: Public Administration and International Affairs, Maxwell Online professional degree programs, Executive Education, and Maxwell in DC.
- Manage a variety of manual and electronic fiscal information, files and records for the purpose of providing up-to-date information and audit trails.
- Maintain oversight of spending against the budget of unrestricted, restricted, and sponsored accounts.
- Monitor and track spending allowances for new faculty start-up funds that are administered by PAIA and Policy Studies.
- Responsible for the resolution of issues discovered during monthly review and reconciliations of accounts.
- Monitor scholarship credits, financial aid awarded, and graduate assistant awards in conjunction with other PAIA staff and faculty.
- Prepare reports as requested which can include salary and sponsored funding year-end estimates and projections.
- Ensure accurate and timely processing and approval of the following: Expense transactions (reimbursement, requisitions, credit card reconciliations for PAIA and PST), payroll processing and reallocations, terminations of student employees.
- Aid in the preparation of information related to part-time instructor hiring and contracts/honorarium for Maxwell online programs and executive education non-tuition programs.
- Coordinate with the Director of Graduate Studies in PAIA and the Student Records Coordinator on matters related to Graduate Assistantships.
- Coordinate with the Assistant Director of Internships and Experiential Learning on various stipends, awards, and MOU agreements.
- Coordinate with the Associate Director of Student Services and the Dean’s Office on matters related to the awarding of financial aid and graduate awards and stipends.
- Coordinate with Executive Education with sponsored program requirements, serving as the liaison to the principal investigators and university units.
- Interpret both agency and university requirements and policies/practices for the unit.
- Independently make decisions, authorization actions and manage the sponsored programs portfolio for Executive Education.
- Prepare and process course buy-outs for faculty managed outside of a research center.
- Calculate the impact of salary distribution changes on internal and external funding sources and against the budget based on various sources that include varying F&A rates and sponsored term agreements.
- Prepare and complete steps for successful effort reporting.
- Supervise positions including but not limited to student employees and casual, temporary workers.
Qualifications
- Bachelor's Degree and a minimum of 3 years of budget or financial analysis, preferably in a higher education setting.
- Experience and working knowledge of Microsoft Office suite including proficiency in excel.
- Demonstrated experience with financial systems, PeopleSoft and Hyperion planning are preferred.
- Experience with budget and financial analysis including personnel, straight-line, trend and other projection methods.
- Experience with utilizing multiple funding sources including unrestricted, restricted, and sponsored funding and understanding the differences between the funding sources and various policies.
- Attention to detail, high organizational skills, and systems level thinking.
- Excellent customer service and the ability to build rapport with faculty, staff and colleagues from multiple academic and programmatic units.
