As a Branch Operations Coordinator, you’ll be a critical part of daily branch success. You won’t just process paperwork—you’ll connect shop operations, logistics, technicians, and customers to ensure equipment moves on time, work orders are accurate, and customer commitments are met. What You’ll Be Doing

  • Serving as a first point of contact for inbound phone calls, online inquiries, and customer walk-ins
  • Processing service work orders using service management and ERP systems (ServiceMax and STEEB)
  • Supporting scheduling of technicians, deliveries, equipment movement, and pick-ups
  • Cooking, triaging, palletizing, and preparing pumps for shipment to customers or regional hubs
  • Aiding with pressure washing, loading and unloading trucks, and coordinating logistics timelines
  • Supporting Service Shop Technicians by creating work orders and pulling required parts for repairs
  • Entering orders and ensuring freight terms, service operations, and part numbers are accurately captured
  • Maintaining accurate time entries, billing details, and customer payment documentation
  • Preparing paperwork for customer sign-off and shipment confirmation
  • Supporting branch staff in compiling metrics and ensuring customer requests are completed on time
  • Promoting a safe working environment and strong safety culture within the branch

Where You’ll Make an Impact

You’ll support operations at the Germantown, WI branch, working hands-on with both administrative and shop teams to ensure pumps, parts, and service orders move efficiently and safely. You’ll play a key role in representing Xylem as a reliable and responsive service partner.

What It Takes to Succeed

  • High school diploma or equivalent
  • 2+ years of experience in operations, logistics, shop support, or administrative roles
  • Comfort working in both office and warehouse/shop environments
  • Experience managing multiple priorities in a fast-paced setting
  • Experience with ERP systems and Microsoft Office tools
  • Strong attention to detail, initiative, and customer-focused mindset
  • Ability to safely assist with material handling and equipment movement
