The Billing Manager oversees the firm's billing operations to ensure accurate, timely, and compliant client invoicing. This leadership role manages a team of time and billing specialists while partnering with attorneys, accounting, and administrative staff to optimize billing processes, maintain compliance with outside counsel guidelines, and enhance the overall client billing experience.
Key Responsibilities
- Oversee the firm's day-to-day billing operations to ensure accurate and timely invoicing in accordance with client deadlines.
- Supervise, mentor, train, and evaluate a team of time and billing specialists.
- Collaborate with attorneys, clients, and support staff to resolve billing discrepancies, client reporting issues, and account management concerns.
- Partner with the Office of General Counsel to ensure compliance with outside counsel billing guidelines and client requirements.
- Manage and maintain the firm's eBilling hub, ensuring accurate client rates, billing instructions, and software configurations.
- Generate monthly prebills and develop billing reports to support accurate invoicing and financial reporting.
- Establish audit procedures and quality control processes to improve billing accuracy and efficiency.
- Stay informed of industry trends, technologies, and best practices while identifying opportunities for process improvements.
- Ensure proper coding of expenses and coordinate with the accounting team to support accurate financial reporting.
- Maintain complete and accurate records of invoices, payments, billing adjustments, and financial transactions.
- Serve as support for the Controller and billing team as needed.
- Ensure compliance with firm policies, accounting standards, legal requirements, and regulatory guidelines.
- Auxiliary duties as assigned by leadership.
Requirements
- Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field required. Equivalent combination of education and relevant experience will be considered.
- Experience: Minimum of five years of billing experience in a professional services environment. Minimum of two years of leadership or people management experience. Billing management experience within a law firm strongly preferred. Experience with electronic billing platforms and client billing compliance. Experience developing reporting processes and improving billing operations.
Skills
- Strong leadership, coaching, and team management skills.
- Advanced proficiency with Microsoft Excel, Word, and Outlook.
- Familiarity with Microsoft Access and PowerPoint preferred.
- Strong knowledge of eBilling software, with Elite/3E experience highly preferred. Experience with Legal Tracker, Tymetrix 360, CounselLink, Passport, Ascent, or similar eBilling platforms.
- Strong analytical, organizational, and problem-solving skills.
- Excellent project management and process improvement capabilities.
- Exceptional written, verbal, and interpersonal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
