About the role
Maintains and supports office operations by ensuring accurate documentation, reporting, and billing processes. Provides administrative support to facility leadership and serves as a point of contact for internal teams, customers, and vendors.
Responsibilities
- Provide administrative support to management, including reports, documentation, and special projects
- Invoice customers for manual services and follow up on unpaid or overdue invoices
- Code Accounts Payable (AP) invoices in Concur AP system
- Review and resolve exception reporting (partially processed batches, deferred accrued shipped, etc.)
- Work with IT and Revenue Analyst to ensure proper revenue recognition
- Complete daily, weekly, and monthly reports, including billing and operational data
- Support Time & Attendance processing for temporary employees and verify hours worked
- Monitor and update tracking systems and spreadsheets
- Assist with production, operational, and customer support activities as directed
- Maintain professionalism, confidentiality, and positive working relationships
- Adapt to changing priorities and perform other duties as assigned
Requirements
- High School Diploma or GED
- 2+ years of administrative, billing, or AP/AR experience
- Strong communication and customer service skills
- Basic to intermediate computer skills (Microsoft Office)
- Ability to perform accurate data entry, reporting, and calculations
- Strong attention to detail, organization, and problem-solving skills
- Ability to manage multiple tasks and meet deadlines
- Ability to maintain confidentiality and professionalism
- Reliable attendance

- Associate's degree in accounting or related field
