Bereavement Assistant

About the Role

Demonstrate professionalism, empathy, and outstanding service when welcoming and assisting visitors, clients, and families in both the Bereavement Department and main reception area. Coordinate and perform administrative functions related to bereavement services, overseeing client records and processes from intake through discharge. Partner closely with Bereavement Volunteers, Bereavement Counselors, and the Manager of Bereavement Services to support quality care and service delivery.

Responsibilities

  • Bereavement Clients:
    • Receives information calls and provides information as requested, including finding bereavement services for those outside the CHC service area.
    • Receives bereavement referrals, gathers initial intake information, and forwards information to the Manager of Bereavement Services/Counselors for assignment.
    • If the bereaved is in distress, forwards the call to an available Bereavement Counselor.
    • Supports scheduling of bereavement clients.
    • Welcomes new clients and provides intake forms, including outcome measures and instructions; enters data in EMR and maintains electronic charts with updates as needed.
    • Runs multiple reports daily to gather new bereaved information and verify contact information.
    • Starts and maintains a bereavement tracking system for all bereaved.
    • Begins mailing program with condolence cards, oversees administration of the bereaved mailing program to maintain compliance, and completes related tasks.
    • Provides administrative support for bereavement events and services.
  • Bereavement Office Support:
    • Provides administrative support to the Manager of Bereavement Services and Bereavement Counselors in all offices.
    • Performs and prioritizes general office tasks as assigned.
    • Maintains electronic charts, including scanning.
    • Processes incoming and outgoing mail.
    • Maintains inventory of Bereavement office supplies.
  • Bereavement Volunteers:
    • Provides non-clinical support for bereavement caller volunteers, answers volunteer questions, provides requested information, and follows up on volunteer requests as needed.
    • Informs the Manager of Bereavement Services when a need is clinical.
    • Oversees bereavement mailing program volunteers.
    • Trains and assists bereavement volunteers for office-related duties.
    • Tracks bereavement contacts and notifies the Manager of Bereavement Services if contacts have not been made.
  • Additional Functions:
    • Committed to agency resolution against fraud and abuse.
    • Knowledgeable in hospice philosophy and state and federal rules and regulations.
    • Arrives at work and meetings on time and ready to work.
    • Respects confidentiality of patients, families, and other agency employees.
    • Attends educational meetings/conferences for professional growth as required.
    • Sees change as an opportunity and maintains flexibility to adapt to new ways of performing.
    • Serves as backup to the front desk coverage, including primary and last-minute backup.
    • Follows directions and policies to work under time pressures without sacrificing quality.
    • Performs other duties that may be assigned.

Requirements

  • Possess the ability to:
    • Speak in ordinary conversational tones using the English/American language.
    • Hear ordinary conversations.
    • See with the visual acuity necessary to perform the essential functions listed in this job description.
    • Use hands, wrists, and fingers simultaneously (e.g., writing, typing, data entry).
  • Demonstrate a high level of professionalism and care for clients, visitors, and staff.

Qualifications

  • High school graduate or equivalent.
  • Administrative assistant experience and general office skills.
  • Working knowledge of Excel, Microsoft Office, and Outlook.
  • Excellent communication skills, including phone, in-person, and email.
  • Ability to remain calm and compassionate in a fast-paced work environment.
  • Ability to organize and prioritize workload and meet deadlines.
