Benefit Leave Administrator

Key Responsibilities

  • Manage the full lifecycle of employee leaves, including FMLA, state-specific leaves, personal, military, and ADA accommodations
  • Conduct intake calls with employees to explain leave options, eligibility, and next steps
  • Process leave requests accurately and in compliance with applicable laws and company policies
  • Partner with VOYA to coordinate Short-Term and Long-Term Disability (STD/LTD) claims
  • Maintain accurate and up-to-date records of all leave cases in the HR system
  • Employee and Manager Support
    • Serve as the primary point of contact for employees and managers regarding leave inquiries and processes
    • Provide clear, empathetic, and consistent communication throughout the leave lifecycle
    • Educate managers on best practices for managing employees on leave and returning to work
    • Ensure employees understand their rights, responsibilities, and available benefits
  • Compliance and Reporting
    • Ensure compliance with federal and state leave laws, including FMLA, ADA, and state-specific programs
    • Partner with HRIS and HR Operations to maintain accurate system data and reporting
    • Generate reports and metrics to identify trends and ensure compliance with internal controls
    • Collaborate with Legal and HR leadership to address complex leave situations
  • Process Improvement and Collaboration
    • Recommend and implement process enhancements to improve efficiency and employee experience
    • Collaborate with Payroll, Benefits, and HR Business Partners to ensure coordinated leave management
    • Stay current with evolving laws and best practices related to leave administration

    Qualifications

    • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred
    • 3+ years of experience administering leaves of absence in a multi-state environment
    • Strong knowledge of FMLA, ADA, and state-specific leave laws
    • Experience working with third-party disability vendors (VOYA experience preferred)
    • Exceptional attention to detail with the ability to manage multiple cases simultaneously
    • Excellent written and verbal communication skills with an empathetic and professional approach
    • Ability to work independently and collaboratively in a team environment
    • High level of confidentiality and discretion when handling sensitive information
    • Proficiency with HRIS systems and Microsoft Office Suite
