About the Role

Join Alternative Consulting Enterprises (ACE) as a Behavioral Health Administrative Assistant and become a vital part of ensuring individuals receive quality behavioral health services. This part-time role offers meaningful work in a supportive team environment, where you’ll support clients and clinical staff while growing professionally.

Responsibilities

  • Administrative Support
    • Prepare, process, and maintain psychiatric evaluations and medication management documentation.
    • Organize, scan, and maintain confidential client records.
    • Create reports, update spreadsheets, and assist with office projects.
    • Verify insurance eligibility and collect requested records.
  • Client & Provider Coordination
    • Coordinate client entry into telehealth psychiatric appointments.
    • Schedule and reschedule appointments for providers.
    • Answer phone calls and respond professionally to client inquiries.
    • Support psychiatrists during sessions by documenting services and completing required paperwork.
  • Office Operations
    • Maintain efficient office workflows and administrative processes.
    • Handle confidential information with professionalism and discretion.
    • Attend required trainings and team meetings.
    • Perform additional administrative duties as assigned.

Requirements

  • Proficiency with Microsoft Office and other computer software.
  • Knowledge of office procedures, filing systems, and administrative practices.
  • Strong organizational and time management skills.
  • Ability to handle confidential information with discretion.

Qualifications

  • Education: High School Diploma required; Associate degree preferred.
  • Experience:
    • Two or more years of relevant administrative experience preferred.
    • One or more years of customer service experience preferred.
    • Experience with records management is a plus.
