About the role

The Base Administrator will provide a wide range of administrative support to Inland Group of Companies managers and supervisors with a high degree of professionalism, organization, time management, and confidentiality. The role serves as the initial point of contact for potential hires, collaborates with hiring managers to interview and select candidates, works with the Corporate HR Team, and manages the location’s Applicant Tracking System (ATS).

Responsibilities

  • Model and promote a learning safety culture; follow all safety policies, standards, and procedures to maintain a safe work environment for staff, customers, and visitors.
  • Answer phone calls, take messages, and respond to routine and non-routine inquiries.
  • Coordinate office and uniform supplies.
  • Manage the applicant lifecycle from sourcing to onboarding, including follow-up with hiring managers.
  • Process new-hire packets: verify I-9 documents using E-Verify, review pre-employment drug screen results, request MVRs, and enter new-hire information into the payroll system.
  • Establish and maintain new-hire employee folders with up-to-date information; assist with employee forms such as PAFs, address changes, and W4s.
  • Ensure proper signatures are obtained and reinforce company mission, values, and purpose.
  • Serve as site portal admin for online trainings (Inland Hub).
  • Use operational analysis, trending, benchmarking, and research to support leadership with staffing projections.
  • Analyze metrics to track turnover, retention, and recruiting source effectiveness; produce reports as requested.
  • Participate in school vendor fairs, state and national conventions, and other events as needed; travel as required.
  • Maintain a future candidate pool and track recruiting source results.
  • Work with HR Corporate Recruiter to develop and maintain a Workforce Staffing Plan for the assigned station.
  • Collaborate with the Corporate HR Team to ensure compliance throughout the hiring process.

Requirements

  • Must be at least 18 years old.
  • 3–5 years of recruiting experience preferred.
  • High school diploma or equivalent; advanced degree a plus; BS in Business or related field preferred.
  • Self-motivated, goal-oriented with strong organizational and problem-solving skills.
  • Ability to work under pressure, prioritize workload, and be self-directed.
  • Excellent computer skills with proficiency in Microsoft Office programs.
  • Strong interpersonal skills; able to manage and motivate others.
  • Thrives in independent work and team environments.
  • Basic knowledge of Human Resources.
  • Excellent verbal and written communication skills; ability to communicate across departments (operations, maintenance, HR, payroll, accounting, etc.).
  • Detail-oriented, deadline-driven, and organized with strong prioritization ability.
  • Strong customer service orientation; ability to increase satisfaction, meet expectations, and solve problems.
  • Ability to handle sensitive and confidential situations with discretion, tact, and diplomacy.
  • Ability to work in a fast-paced environment juggling multiple competing tasks and demands.

Certifications/Licenses

  • Successful completion of the required airport badging process.
  • Ability to obtain and maintain all security clearances required by Transport Canada, TSA, and/or local Airport Authorities.
  • Ability to pass pre-employment background screenings.

Work Environment

  • Indoor warehouse office environment; may remain seated for extended periods.
  • Continuous use of computer, keyboard, and mouse.

Physical Demands

  • Ability to carry, push, pull, and lift up to 25 pounds.
  • Operate office equipment as needed.
