About the Role

This position provides clerical and other support for the school, including maintaining attendance records, communicating truancy information to parents, and serving as a public contact for inquiries.

Responsibilities

  • Answers incoming telephone calls to screen, transfer, respond to inquiries, or take messages.
  • Assists the lead secretary with financial transactions and reports (e.g., requisitions, ABS/contingent funds, tracking supplies).
  • Communicates with students, teachers, parents, and District employees to resolve problems and coordinate activities (e.g., courtesy calls, attendance history, parent letters, student passes).
  • Maintains manual and electronic reports, documents, and confidential files (e.g., standardized/special reports, parent letters, fliers, bulletins, rosters, schedules, attendance records, discipline and injury reports).
  • Supervises students in various settings (e.g., recess, hallways, transportation, lunchroom) to ensure a safe school environment.
  • Notifies parents/guardians of student absences to resolve truancy issues and meet District, County, State, and Federal requirements.
  • Responds to inquiries from staff, parents, other schools, and students to provide information or directions.
  • May conduct background checks on volunteers.
  • Administers medication or minor first aid to students under the direction of a healthcare professional (e.g., bee stings, rashes, wounds, prescriptions).
  • Participates in meetings, trainings, workshops, and conferences to gather or convey required information.
  • Performs related duties consistent with the scope of the position.

Requirements

  • High school graduation or GED equivalent.
  • One year of clerical work experience, including public contact.
  • One year of experience supervising children.
  • Valid State of Washington Driver’s License or equivalent mobility.
  • Criminal Justice fingerprint background clearance.

Skills & Qualifications

  • Ability to perform basic math, including fractions, percents, and ratios.
  • Proficiency in reading manuals, writing documents, and presenting information to others.
  • Understanding of complex, multi-step written and oral instructions.
  • Knowledge of age-appropriate activities, business telephone etiquette, and grammar/punctuation concepts.
  • Experience operating standard office equipment and data systems (e.g., SAP, SubFinder, PowerSchool).
  • Ability to schedule activities/meetings, collate data, and maintain accurate records.
  • Flexibility to work with diverse individuals and data using defined processes.
  • Problem-solving skills to identify issues and create action plans.
  • Ability to work with detailed information, meet deadlines, and handle frequent interruptions while maintaining confidentiality.
  • Effective communication skills for interacting with diverse groups.

Working Conditions

  • Performs duties in an elementary school office, generally a clean and healthy environment.
  • Physical demands include significant lifting, carrying, pushing, or pulling; some stooping, kneeling, crouching, or crawling; and fine finger dexterity.
  • Typical work involves 50% sitting, 25% walking, and 25% standing.

Benefits

Eligibility for benefits is determined by the number of hours worked during the school year (September 1 through August 31). Employees scheduled to work 630 hours or more in a year are eligible for benefits through the Washington State Healthcare Authority (HCA) under the School Employees Benefits Board (SEBB).
