About the role

This position offers the chance to work in a fast-paced, dynamic environment that’s constantly evolving. The Back-Up Administrative Coordinator provides support for the store’s administrative functions and serves as a secondary resource for payroll, scheduling, hiring documentation, reporting, and associate record management. This role helps ensure continuity of administrative operations during the absence of the Administrative Coordinator.

Responsibilities

  • Administrative Operations: Provide administrative support to store leadership and department management; maintain associate records and personnel files; support store reporting, data entry, and document management; ensure administrative tasks are completed accurately and within established timelines; assist with preparation and distribution of store communications and reports.
  • Payroll & Scheduling Support: Assist with timekeeping review and payroll-related processes; support schedule maintenance and labor tracking; review documentation for accuracy and completeness prior to submission; assist managers with payroll corrections and attendance record updates; help maintain compliance with company payroll procedures and deadlines.
  • Hiring & Onboarding Support: Assist with new hire processing and onboarding activities; support completion and maintenance of employment documentation; coordinate hiring paperwork and ensure records are properly filed; assist with orientation scheduling and onboarding communication; maintain confidentiality of associate information and employment records.
  • Compliance & Record Management: Maintain personnel files in accordance with company policies and regulatory requirements; ensure administrative records are accurate, secure, and up to date; assist with audits, compliance reviews, and record retention requirements; support I-9, E-Verify, and other employment-related documentation processes; protect confidential associate and company information.
  • Customer & Associate Support: Serve as a resource for associates regarding administrative questions and processes; provide professional assistance to internal and external customers; respond to inquiries promptly and direct concerns to the appropriate leader when necessary; support positive communication and effective working relationships throughout the store.
  • Store Support Functions: Assist with office supply management and administrative inventory; support execution of company initiatives, programs, and reporting requirements; provide coverage for Administrative Coordinator responsibilities when needed; assist with special projects and operational tasks as assigned by store leadership.

Qualifications

  • Previous administrative, office, human resources, payroll, or retail support experience preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office and company administrative systems.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.

Physical Requirements

  • Frequent sitting, standing, walking, bending, and reaching.
  • Ability to operate computers, printers, and other office equipment.
  • Ability to lift and move office supplies and records consistent with job requirements.
