Back Office Supervisor - Psychiatry Department

Job Summary

The Back Office Supervisor at Neighborhood Outreach Access to Health (NOAH) will oversee and coordinate the work of clinical support employees. Key responsibilities include supervising staff, assisting with recruitment, conducting evaluations, coordinating training, ensuring compliance with policies, and providing support during absences.

Supervisory Responsibilities

  • Schedules and supervises back-office staff across multiple provider service lines.
  • Recruits and hires new staff.
  • Conducts performance evaluations and provides feedback.
  • Trains new and existing staff on policies and procedures.
  • Recommends transfers, promotions, disciplinary actions, and terminations.
  • Trains employees on provider practice management.

Duties/Responsibilities

  • Implements protocols to meet organizational goals.
  • Ensures adherence to policies, procedures, and regulations.
  • Monitors and ensures accurate completion of daily tasks.
  • Maintains operational compliance with regulatory guidelines and equipment.
  • Serves as a point of contact for patients, employees, and providers.
  • Assumes supervision duties during leadership absences.
  • Performs registration, scheduling, and MA duties as needed.
  • Creates and manages work schedules.
  • Attends and participates in meetings, trainings, and other activities.

Qualifications

  • Excellent communication and management skills.
  • Thorough understanding of medical back-office procedures and standards.
  • Basic knowledge of business and management principles.
  • High school diploma or equivalent, with certification or completion of a Medical Assistant training program.
  • Basic Life Support (BLS).
  • At least 2 years of leadership experience.
  • At least 2 years of medical back-office experience.
  • Preferred: Vocational or specialized training, 2+ years of supervisory experience, and 1+ years of multi-site supervisory experience.
