Primary Purpose

Facilitate the efficient operation of the district employee childcare administrative office and provide clerical services for the school’s administrative staff.

Qualifications

  • High School Diploma or GED
  • Must pass a background check
  • Three (3) years clerical/secretarial experience or other equivalent experience or background
  • Two (2) years experience working with children in a preschool or child care setting preferred

Special Knowledge/Skills

  • Thorough understanding of childcare center operations
  • Knowledge of TDHHS minimum standards for child-care centers
  • Reports to work on time, is reliable for regular work and maintains good attendance
  • Ability to work flexible hours and demonstrate a positive attitude
  • Displays good communication skills and ability to receive and follow directions
  • Demonstrates a high degree of flexibility and adaptability
  • Works with diverse populations
  • Works well with others including children, parents, co-workers, and community members
  • Knowledge of general office equipment
  • Knowledge of basic accounting principles
  • Proficient skills in typing, word processing, and file maintenance
  • Effective organizational, communication, and interpersonal skills
  • Able to operate computer/peripherals using a variety of basic applications
  • Able to effectively use district and childcare programs with reasonable assistance
  • Maintains confidentiality

Major Responsibilities And Duties

  • Assist students, teachers, and parents as needed
  • Receive incoming calls, take reliable messages, and schedule appointments
  • Promote a positive, caring climate for learning for staff, students, and parents
  • Perform accounting tasks following established district and TDHHS Child Care Regulation standards including, but not limited to, those related to budget, curriculum material, fixed assets, requisitions, purchase orders, record keeping of both staff and students
  • Participate in in-service Childcare Regulations Employee Required trainings, staff meetings, and special events as required
  • Manage student and campus activity accounts as required
  • Keep accurate records of staff absences and substitutes utilized
  • Monitor, process and submit personnel payroll reports to central office as required
  • Manage office and daily activities as needed or directed
  • Assist in compiling information to be used in various administrative reports required by both the District and TDHHS Child Care Regulations
  • Maintain the scheduled use of the building and make requests for appropriate heating/cooling systems
  • Maintain confidentiality
  • Absorb and maintain files according to THHS requirements
  • Follow all rules, regulations, and policies of Irving ISD and follow the supervisor's directives
  • Perform any and all duties as assigned
  • Remain informed of and comply with state, district, and school policies or regulations concerning primary job functions

Safety

Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidents immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
