About the role
The Aviation Parts Sourcing Specialist ensures Jet Access's maintenance operations run smoothly by managing parts procurement, vendor relationships, and inventory coordination. This role combines strategic sourcing with hands-on operational support to locate, order, and deliver critical parts and supplies while maintaining cost efficiency, quality, and safety standards.
Responsibilities
- Purchase Order Management
- Prepare and process purchase orders, coordinating with suppliers and departments for accurate fulfillment.
- Review requisition orders to verify accuracy, terminology, and specifications for aviation-specific parts.
- Calculate order costs and coordinate invoice processing with appropriate accounts.
- Track status of requisitions, contracts, and orders throughout the procurement lifecycle.
- Compare suppliers' bills with purchase orders and bids to verify pricing accuracy and contract compliance.
- Strategic Sourcing and Supplier Relations
- Compare prices, specifications, and delivery dates among potential suppliers to determine optimal sourcing decisions.
- Locate and evaluate new suppliers using catalogs, internet resources, and industry contacts.
- Interview potential vendors to gather detailed product information and assess capabilities.
- Build and maintain relationships with aviation parts suppliers and key industry contacts.
- Negotiate pricing and terms while ensuring compliance with organizational and regulatory purchasing requirements.
- Inventory and Supply Chain Coordination
- Monitor inventory quantities and determine when materials need reordering to maintain optimal stock levels.
- Check incoming shipments to ensure orders are filled correctly and goods meet aviation quality specifications.
- Contact suppliers to schedule or expedite deliveries and resolve shortages, missed deliveries, and supply chain issues.
- Maintain purchasing files, reports, and price lists for efficient procurement operations.
- Respond to client and supplier inquiries regarding order status, changes, or cancellations.
- Regulatory Compliance and Documentation
- Maintain current knowledge of aviation industry regulations and purchasing guidelines.
- Provide guidance to Team Members and vendors regarding organizational and governmental purchasing rules.
- Ensure all procurement activities comply with FAA regulations and aviation industry standards.
- Maintain accurate documentation and records for audit and compliance purposes.
- Support quality assurance processes for aviation parts and materials.
- Process Improvement and Special Projects
- Identify opportunities to improve procurement processes and reduce costs while maintaining quality standards.
- Analyze supplier performance and recommend improvements to the supply chain.
- Support implementation of new procurement technologies and systems.
- Collaborate with maintenance teams to understand parts requirements and lead times.
- Complete special projects and initiatives to contribute to Jet Access's continued growth and success.
Requirements
- High school diploma or equivalent required.
- Prior experience with aviation parts purchasing strongly preferred, along with experience in aviation maintenance and/or manufacturing environments.
- Strong organizational, planning, and prioritization skills, with the ability to manage multiple changing priorities and deadlines.
- Excellent written and verbal communication skills, with strong decision-making and problem-solving abilities.
- Ability to maintain and secure confidential, protected information.
- Ability to work extended hours during critical maintenance periods as operational needs require.
- Proven ability to operate independently and achieve results in fast-paced environments.
- No regular travel required beyond occasional vendor or supplier coordination.

Qualifications
- Bachelor's degree in aviation, business, supply chain management, or related field (preferred).
- Advanced knowledge of aviation parts terminology, specifications, and regulatory requirements.
- Experience with enterprise resource planning (ERP) or procurement software systems.
- Strong negotiation skills and vendor relationship management experience.
- Knowledge of FAA regulations and aviation industry compliance standards.
- Experience with international shipping and customs procedures for aviation parts.
- Understanding of aircraft maintenance schedules and parts lead time requirements.
- Track record of process improvement and cost reduction initiatives.
- Professional certifications in procurement or supply chain management (preferred).
Pay
Base salary of $22.00–$26.00 per hour, paid bi-weekly. This position is classified as FLSA Exempt.
Schedule
- Core schedule is Monday through Friday, with day and/or evening shifts available.
- Hours vary depending on operational requirements.
- On-call, overtime, and flexible scheduling may be required as needed.
