Attorney Practice Coordinator

This position is resident in Phoenix, AZ and follows a hybrid work schedule working in-office 2-3 days per week.

Responsibilities

  • Coordinate attorney support from Attorney Resource Team and other corporate departments including calendar and billing teams.
  • Ensure accurate and complete submissions to Attorney Resource Team, including thorough instructions and documentation.
  • Communicate with case team to prevent duplicate requests to Attorney Resource Team.
  • Verify court and other deadlines and alert attorneys.
  • Create and/or update matters in Virtual Binder.
  • Create accurate and timely Tables of Contents ("TOCs") and Tables of Authorities ("TOAs").
  • Coordinate and finalize documents for filing with courts or administrative agencies, and service upon other parties.
  • E-file documents with courts and agencies in accordance with applicable rules.
  • File documents timely and properly in NetDocuments.
  • Accurately create and submit New Client Matters ("NCM") within firm standards.
  • Coordinate transcription of audio recordings.
  • Coordinate printing and assembling of documents with office services personnel.
  • Maintain attorney contact lists through Outlook and Client Relationship Management system (i.e., InterAction).
  • Submit daily task log identifying projects and assignments in a timely manner.
  • Review and revise client pre-bills as needed.

Qualifications

  • Minimum 3 years of experience as a litigation secretary.
  • Highly organized with ability to support multiple attorneys' practices and coordinate multiple tasks effectively.
  • Strong time management expertise with ability to prioritize and anticipate practice needs.
  • Initiative to identify, monitor, and execute tasks related to case timelines.
  • Strong written and verbal communication skills for effective interaction with internal and external parties.
  • Advanced knowledge and proven expertise using Best Authority to produce Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Extensive knowledge of court rules and ECF procedures.
  • Proficiency in MS Office, Outlook, and Adobe.
  • Experience with document management systems (e.g., NetDocuments).
  • Expertise in BigHand to create compliant legal documents and correspondence.
  • Knowledge of legal terminology.
