Job Summary

Under the direction of the Office Manager, the Attendance Clerk provides comprehensive attendance and student records support by maintaining accurate attendance data, monitoring absences and tardiness, preparing reports, communicating with families regarding attendance matters, and ensuring compliance with school and district attendance procedures.

  • Inputs and logs all student absences and tardiness into an automated system.
  • Issues tardy passes to students who arrive late to school and documents the reason for tardiness into the computer system.
  • Issues and processes all requests for early dismissal and ensures parental consent.
  • Maintains files of school district attendance records.
  • Creates, maintains, reviews, and organizes files, forms, reports, and student attendance records.
  • Performs accurate data entry and maintains records in various databases, including PowerSchool; generates and distributes reports as needed.
  • Reconciles daily attendance records and administers the student truancy notification process in accordance with school policies and state requirements.
  • Participates in the Student Attendance Review Team (SART) process, Independent Study attendance procedures, and related documentation.
  • Monitor and track chronic absenteeism, assist with attendance outreach efforts, and maintain accurate attendance records.

Attendance Reporting & Compliance

  • Retrieves data and compiles information from manual and automated files for the preparation of routine attendance reports and correspondence.
  • Prepares daily, weekly, and/or monthly attendance reports and submits them to designated administrators or school district personnel.
  • Prepares and mails form letters to parents notifying them of their child's excessive absences and/or tardiness.
  • Distributes attendance-related letters to appropriate departments or teachers and maintains copies in the office.

Parent & School Communication

  • Calls parents to notify them of student absences and determine the reason for the absence.
  • Uses the telephone to request and provide routine information to parents and school district personnel.
  • Affords assistance with translation and interpretation services (English/Spanish).

Administrative & Office Support

  • Uses computer applications and automated systems, including spreadsheets, word processing, calendars, email, and database software, to perform assigned duties.
  • Administers first aid.

Professional Development & Other Duties

  • Participates in training, workshops, and professional development activities.
  • Performs other related duties as assigned.

Qualifications

  • High School Diploma, GED or equivalent (required).
  • Ability to read/write/speak in Spanish (required).
  • Maintain a courteous and positive attitude (required).
  • Requires prolonged periods of sitting, with intermittent standing and walking throughout the workday.
  • Requires frequent use of a computer, keyboard, telephone, and other standard office equipment.
  • Requires sufficient manual dexterity to operate office equipment, enter data, and handle documents.
  • Requires the ability to reach, bend, stoop, kneel, and twist occasionally to retrieve or file records, office supplies, and materials.
  • Requires the ability to lift, carry, push, and pull office equipment, files, boxes, and supplies weighing up to 25 pounds on an occasional basis.
  • Requires visual acuity to read printed materials and computer screens and the ability to communicate effectively in person and by telephone.
  • May occasionally move throughout the campus to deliver materials, assist staff, or attend meetings.

Compensation And Benefits

  • Salary Rate: $25.15 / Hourly.
  • Medical, Dental, Life, and Vision Coverage.
  • Work Schedule: Monday - Friday | Full-time12 Month Classified Hourly work calendar | 240 Work Days.
