Associate Registrar, Degree Auditor & Curriculum Processor

Plymouth State University’s Registrar’s Office seeks an Associate Registrar – Degree Auditor & Curriculum Processor to manage electronic data and records across multiple platforms in support of Registrar operations, applying policies and procedures with discretion, initiative, and meticulous attention to detail.

Responsibilities

  • Maintain confidentiality in handling sensitive information and materials.
  • Serve as point person for degree auditing (pre-auditing through final auditing) for all programs and levels, including related reports and communications with students, faculty, advisors, and staff.
  • Assist in scribing new and revised programs (majors, minors, concentrations, courses, and blankets) into DegreeWorks.
  • Assist in creating and maintaining academic requirements for new and revised programs in Workday.
  • Serve as point person for scribing approved student requests in DegreeWorks.
  • Provide end-user training for students and advisors on DegreeWorks as needed.
  • Manage the daily psu-degree-info email account.
  • Order and track diplomas; oversee processing and packaging.
  • Serve as point person for NSC Degree Verify reporting and verifications.
  • Lead Registrar’s Office participation in Grad Fair and commencement preparation, including lists of eligible students and oversight of the student portion of the commencement brochure.
  • Attend all Commencement meetings and report decisions back to the Registrar’s Office.
  • Assist in curriculum processing, including attending committee meetings (e.g., Gen Ed) and helping faculty complete curriculum updates; process updates in Banner, CourseLeaf, DegreeWorks, and Workday.
  • Update the catalog with curricular changes, including Banner-to-CourseLeaf connections and direct updates in CourseLeaf.
  • Communicate processes and provide training to enhance campus-wide usage of CourseLeaf, DegreeWorks, and Workday.
  • Serve as point person for communications to new graduates regarding degree completion status.
  • Attend and participate in curriculum and commencement meetings related to the Workday transition.
  • Support Registrar’s Office operations using tools such as WEBI, Xtender, and the National Student Clearinghouse; scan/index documents daily and use MS Office for tasks.
  • Provide quick, accurate responses to questions to build trust in the Registrar’s Office; explain academic policies and direct students to self-service resources.
  • Answer the main phone line, assist walk-ins, research and resolve routine issues, and triage complex matters.
  • Prioritize time-sensitive responsibilities to ensure deadlines are met.
  • Perform detailed, time-sensitive data entry and recordkeeping for student records in the student information database.
  • Leverage technology and workflows to improve customer service.
  • Communicate academic and student service-related matters, assist in policy updates, and develop new procedures.
  • Run error reports and resolve issues to maintain data integrity.
  • Participate in office-wide projects, cross-training, software testing, and events such as orientation, registration, and Panther Days.
  • Research compliance issues with government and external regulations and assist with compliance as required.
  • Attend committee meetings as delegated, respond to related questions, and report meeting content to the supervisor.
  • Maintain a neat and organized workstation.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree and three years of experience in student information operations or a related area.
  • Familiarity with data processing and Registrar’s Office software applications.
  • Effective communication, writing, analytical, organizational, and interpersonal skills.
  • Supervisory and training experience.

Skills & Abilities

  • Experience in a Registrar’s Office with progressive responsibility, discretion, and independent judgment.
  • Advanced technology skills, including MS Office, database management, and education software (e.g., Banner, DegreeWorks, Workday Student, CourseLeaf).
  • Ability to establish and maintain effective working relationships with faculty, staff, students, and the public.
  • Excellent time management, logic skills, and attention to detail.
  • Ability to adhere to legal requirements (e.g., FERPA), maintain confidentiality, and provide exceptional service.
  • Demonstrated ability to use good judgment, interpret and communicate policies, rules, and procedures.
  • Experience with office duties requiring discretion, prioritization, research, and time-sensitivity.
  • Self-motivated, committed to continuous improvement, and able to work independently or as part of a team in a high-volume, fast-paced environment.

Preferred Qualifications

  • Two years of experience in a Registrar’s Office with degree auditing/curriculum processing, or an equivalent combination of higher education and professional experience totaling five years.
  • Solid understanding of and ability to clearly communicate policies and procedures.
  • Adaptability in an environment with frequent change; willingness to learn new tasks and identify improvement opportunities.
  • Experience with Banner and DegreeWorks curriculum/degree auditing tools, Workday, and related communication applications.
  • Experience with curricular processes, protocols, catalog maintenance, and diploma ordering/processing platforms.
  • Familiarity with all levels of higher education, including adult learners.
  • Advanced knowledge of FERPA.

Pay

$50,210.00 - $89,440.00. Actual offer will be based on skills, qualifications, experience, and internal equity.
