Associate, Operations
The Investment Management Resource Team is seeking qualified candidates for an operations position. Responsible for managing the majority of the processes related to the asset management of our portfolio. Team members work across various departments, proactively manage the calendar, and implement system and procedural enhancements to assist in individual, team, and company goals.
Responsibilities
- Coordinate and assist the team to manage the Quarterly & Monthly Financial Processes and timeline (calendar, collection, review, and organization of the Quarterly and Monthly Financial Information).
- Coordinate and assist the team in managing lower-tier compliance processes, including collection and tracking of Tenant files, Annual Owners Process (AOC), State File, and Physical Inspection.
- Collaborate with the team to collect, review, follow up, and track various property compliance documents.
- Prepare reports and updates for the Team and Asset Management by analyzing and summarizing compliance information.
- Participate in the Tax & Audit Steering Group (TSSG) and assist the team in managing the preparation and implementation of Tax & Audit Season processes, system enhancements, and delivery schedule.
- Work with the Tax Team and the IT Team to develop specifications for revising or enhancing tax systems, financial systems, and web portals—IMRT revises or enhances these systems annually.
- Develop the year-end calendar and refine or enhance annual procedures for both Tax and Audit Season.
- Train and assist in managing tax temporary employees and other temporary help as needed.
- Organize periodic mailings to accountants, general partners, and management companies, including Monthly & Quarterly collection letters, compliance monthly and bi-annual letters, investor letters, and annual tax and audit collection letters.
- Assist in the collection, processing, and analyzing of client information, investor mailings, invoice processing, and numerous special projects as needed.
- Develop, enhance, and implement the various systems used by the IM-Resource Team.
- Maintain integrity and quality service by implementing team and business policies and procedures, revising as necessary to improve processes or meet new needs.
Requirements
- Bachelor’s degree in business preferred.
- 1 year of experience or less.
- Strong organizational and multitasking skills.
- Proficiency in MS Office and strong computer skills.
- Ability to work in a fast-paced environment while managing conflicting priorities.
- Excellent verbal, written, and interpersonal skills.
- Ability to thrive in a collaborative, team-based environment, pitching in wherever needed to achieve team and business objectives.
- Must be able to take initiative in identifying and resolving inefficiencies and issues.
Pay
Annual base salary gross: $80,000 - $90,000 (MA only). The base salary range represents the estimated low and high end of ORIX’s salary for this position based on geography. Actual base salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies, and proficiency for the role. The base pay is one component of ORIX’s total compensation package for employees.
