Associate Director of Undergraduate Admission
Compensation: $33.94 - $40.72 per hour, based on education, experience, skills relevant to the role, and internal equity. Pay frequency: hourly.
About the Role
The Associate Director of Undergraduate Admission is a strategic member of the Undergraduate Admission Office team, responsible for managing and supporting a broad portfolio that includes SCU Admission events, business practices, marketing, and communications. This role focuses on first-year, transfer, and international student populations, as well as counselors and families. The Associate Director will contribute to setting and implementing strategic direction to meet recruitment and enrollment targets, manage a specific geographic territory, and assist in attracting and enrolling a diverse undergraduate student population.
This is a non-exempt, 12-month position reporting to the Director of Admission, with an emphasis on international admission.
Responsibilities
- Contribute to and support strategy for territory and international outreach, recruitment, and enrollment plans, including recruiting, marketing, application evaluation, and communication strategies (20%).
- Manage, analyze, and develop a strategic plan for a designated geographic territory, including planning and implementing recruitment events, conducting school visits, and maintaining communication with high school officials (30%).
- Review and evaluate applications from the designated territory and make admission decisions as authorized, including transfer applications (30%).
- Manage assigned projects and initiatives, such as Open House, Preview Day, Transfer Admit Day, and virtual recruitment tools (20%).
- Assist in developing marketing and communication strategies, including email, web, and social media presence throughout the admission cycle.
- Collaborate with the Marketing Team to engage and inform prospective and admitted transfer and international students, parents, and counselors.
- Establish timely and targeted tactics for transfer and international audiences using Slate CRM reports and other tools.
- Serve as a principal foreign credential evaluator, including training staff.
- Develop and maintain cooperative relationships with university departments such as the Registrar, International Student & Scholar Services, Office of Diversity and Inclusion, Orientation, and Drahmann Advising Center.
- Represent SCU at college fairs, college/transfer nights, parent programs, and community meetings, which may require evening and weekend work.
- Coordinate territory events and receptions, including room reservations, catering, and other services.
- Analyze territory enrollment trends and develop strategic recruitment plans using available data.
- Conduct presentations and counsel students, parents, and counselors regarding admission, financial aid processes, and policies.
- Respond to inquiries via letter, telephone, and email regarding admission and enrollment.
- Develop projections for short- and long-term territory planning.
- Review and evaluate undergraduate first-year and transfer applications, ensuring entrance requirements are met and making admission recommendations.
- Identify students eligible for merit and special scholarships and make recommendations based on the applicant pool.
- Assist operations staff with processing and maintaining applicant records, resolving issues within the assigned territory.
- Assist in developing and implementing Undergraduate Admissions marquee events and strategic programming, focusing on transfer and international populations.
- Coordinate with internal and external marketing partners to develop promotional messaging.
- Provide financial analyses, projections, and reports to support budget development and administration.
- Coordinate alumni volunteers, students, and other admissions staff for project implementation.
- Assess the effectiveness of efforts and modify plans as needed.
- Maintain professional currency through active participation in associations and committees.
- Process and report expenses according to departmental protocol.
Qualifications
- Bachelor’s degree required; Master’s degree and admissions-related experience in a college environment are highly desirable.
- Minimum of three years of related work experience.
- Understanding and appreciation for the Jesuit, Catholic mission, goals, and values of the University.
- Experience with transfer and international students.
- Commitment to customer service, both internal and external to the department.
- Experience using Slate CRM to develop reports, communication campaigns, and events.
- Exceptional organizational skills and attention to detail.
- Excellent written and interpersonal skills.
- Ability to manage multiple tasks and exercise sound judgment in a fast-paced environment.
- PC proficiency, including PeopleSoft, MS Word, Excel, Google Apps, and Slate CRM.
- Ability to handle confidential information.
- Self-motivated with minimal supervision required.
- Creative problem-solving skills.
- Sensitivity toward people of diverse social, cultural, and ethnic backgrounds.
- Willingness to work as part of a team.
- Fluency in another language is desirable.
- Possession of a valid California driver’s license with a satisfactory driving record and ability to travel as required.
Physical Demands
- Considerable time spent at a desk using a computer.
- May require travel to other buildings on campus, within the Bay Area, or out-of-state locations.
- May require lifting 40-50 lbs (e.g., boxes of marketing or event materials).
- Must be able to drive long distances for recruiting purposes.
Work Environment
- Typical office environment, mostly indoors with windows.
- Frequent interruptions, particularly during large events.
- Routine use of standard office equipment such as computers, phones, copiers, scanners, and filing cabinets.
- Telecommuting may be approved, with work required to be performed within California, Nevada, Oregon, Washington, Arizona, or Illinois.
