Here's a Summary Of Responsibilities Under the leadership of the Director of Accounting, the Associate Director will support the financial management and reporting of the USOPC and USOPF by ensuring the general ledger is accurately maintained, and financial information is reported in a timely manner. The Associate Director is responsible for overseeing and managing assigned portions of monthly close, fixed asset accounting, cost allocations, and balance sheet account reconciliations; supporting the annual financial statement audit and Form 990s preparation; ensuring timely resolution of outstanding items supporting data integrity initiatives by reviewing expense accounts for accuracy and appropriate information; and developing and providing reports for finance and business users for assigned areas. Here’s How You’ll Have An Impact Manage and oversee assigned components of the monthly close process. Prepare and review assigned journal entries, including organization-wide accruals, recurring entries, prepaid expenses, and other accounting activity, and review and approve journal entries prepared by accounting staff, as appropriate. Ensure transactions are accurate, properly supported, and recorded timely.Prepare and review assigned balance sheet reconciliations and oversee the reconciliation process for designated accounting areas. Ensure reconciliations are complete, accurate, timely, and adequately supported, and manage timely resolution of open items.Manage and ensure timely completion of net asset reconciliations, annual roll forwards, and intercompany eliminations across the USOPC and USOPF entities.Oversee the fixed asset process, including evaluating expenditures to ensure compliance with USOPC capitalization policy. Ensure accurate recording and classification of new fixed assets, determining useful asset life, overseeing monthly depreciation, and maintaining complete and accurate fixed asset records.Assist with the creation, maintenance, and execution of all monthly allocation processes, as determined by FP&A, to ensure accurate and timely distribution of shared costs. Review allocation results and assist with the resolution of discrepancies or issues.Direct the functional expense components and support accounting and financial reporting activities for the USOPC and USOPF; including accurate recording and reporting of contributions, grants, donor restrictions, and other fundraising-related transactions. Support the preparation of consolidated financial information for the annual external audit and the preparation and filing of the separate Form 990 filings, and other tax returns, and regulatory filings for the USOPC and USOPF. Assist the Director of Accounting with preparation of the audit and tax support, respond to requests, and ensure the timely and accurate completion of deliverables. Research discrepancies and manage the resolution of any audit findings. Assist the Director of Accounting, when necessary, in interviewing, onboarding, training, developing, and the management of Accounting personnel.Support data integrity efforts by reviewing balance sheets and expense account activity to ensure appropriate coding and tagging. Collaborate with staff to ensure corrections are completed in a timely manner.Own all the financial management of the 27 S. Tejon Condo Association, to ensure accuracy, efficiency, and timeliness. Manage the end-to-end invoice and payment process, prepare budgets and forecasts, and manage banking relationships. Collaborate with Facilities to develop reserve requirements. Present financial and other information to the Condo Association Board of Directors.Manage, train, and develop department staff accountant(s). Provide day-to-day guidance, establish priorities, review work products, provide feedback, support professional growth and ensure high-quality work.Support the Director of Accounting in reviewing revenue contracts to ensure accurate accounting treatment, collaborating with Legal and FP&A to validate obligations, review contract terms, and elevate any concerns or expectations as needed.Review, maintain, and enhance accounting policies and procedures, ensuring they reflect current GAAP requirements and operational best practices. Document accounting treatments, prepare audit-ready materials, and identify opportunities to improve processes, strengthen controls, enhance efficiency, and participate in process improvement initiatives.Serve as a technical accounting resource for the Finance organization. Stay apprised of accounting guidance, GAAP, and IRS regulations applicable to not-for-profit organizations and provide recommendations regarding accounting policies, procedures, and changes impacting USOPC and USOPF entities.Perform other duties as assigned or required.
