About the role
The Assistant Property Manager supports the Property Manager in managing a property or group of properties. They assist with lease administration, vendor supervision, maintenance, budget development, and report preparation.
Responsibilities
- Assist with lease administration duties.
- Supervise vendors and maintenance staff.
- Perform regular property inspections and prepare inspection reports.
- Recommend alterations, maintenance, and reconditioning as necessary.
- Aid in the development and control of operating and capital budgets.
- Prepare monthly reports for owners.
- Coordinate tenant improvement and capital projects.
- Respond to tenant needs, ensuring prompt resolution of issues.
- Represent and communicate the Property Manager's authority based on legal agreements and company policies.
- Initiate and execute day-to-day operational procedures.
- Administer all leases to ensure compliance with provisions and agreements.
- Determine and execute timely escalations, reconciliations, and rent collections.
- Maintain current certificates of insurance for all tenants, ensuring compliance with lease requirements.
- Show space to prospective tenants (where required by state law).
- Communicate with project accounting personnel and provide necessary documentation.
- Prepare monthly ownership reporting, including variance reports, executive summaries, aging reports, etc.
- Manage and coordinate day-to-day financial transactions, including accounts receivables, accounts payable, collection of rents and charges.
- Maintain compliance with all Transwestern personnel policies and procedures.
- Handle miscellaneous duties or projects as assigned by the Property Manager.
Requirements
- Bachelor’s degree in Business Management, Finance, Accounting, or a Human Resource Management-related discipline.
- RPA designation in progress preferred.
- Possess a Real Estate License where required by state law.
- Minimum 3 years of property management experience, preferably in commercial/class A office management.
- Intermediate to advanced proficiency in MS 365 Word, Excel, and Outlook.
- Proficiency in Angus and accounting software such as MRI, Yard, or CTI (preferred).
- Ability to keep information strictly confidential.
- Strong desire to succeed in an entrepreneurial environment.
- Exceptional oral and written communication skills.
- Strong customer service orientation.
