About the Role

Experienced Commercial Assistant Property Manager needed for a full-time, on-site role based in Dallas. The ideal candidate must have Commercial Real Estate experience and ready to support the day-to-day management of retail properties, including coordinating maintenance and repairs, overseeing vendors, and ensuring properties are clean, safe, and presentable. The role involves assisting with lease administration, tracking rent collections, preparing reports, and supporting budgeting processes. The Asst. Property Manager will regularly communicate with tenants and internal teams, address service requests, and help implement property improvement initiatives. This role also contributes to maintaining compliance with company policies, local regulations, and lease requirements while supporting senior property management staff.

Responsibilities

  • Assist the Property Manager with the day to day operations including maintenance, improvements, lease administration, budgeting, reporting, collections, vacancy anticipation, marketing, lease renewals, service contracts, expense control, and audits.
  • Coordinate maintenance work orders and ensure timely resolution to maintain property standards
  • Provide exceptional customer service and communication to tenants and landlords to enhance customer satisfaction and increase renewals, revenue, reputation, and profitability
  • Manage Accounts Payable (AP) and Accounts Receivable (AR) processes efficiently
  • Record and deposit checks, ensuring accurate and timely processing
  • Process bills sent to Appfolio or similar property management software
  • Handle property charges and tenant charges as applicable, and assist in utility onboarding for new tenants
  • Help track tenant work orders and requests
  • Request COI (Certificate of Insurance) and W9 compliance from vendors and tenants
  • Support in yearly reconciliation and budgeting processes using Kardin or similar software
  • Send tenant statements and letters through management software
  • Prepare and send FedEx Certified Letters for monthly reimbursements

Requirements

  • 2+ years experience in Commercial Real Estate management.
  • Bachelor's degree in business administration, Finance, or related field preferred
  • Proven experience in Accounts Payable and Receivable within property management
  • Familiarity with property management software a plus (e.g., AppFolio, Yardi, Kardin)
  • Strong attention to detail and organizational skills
  • Excellent communication and interpersonal skills
  • Ability to prioritize tasks and work independently
  • Proficiency in MS Office Suite (Excel, Word, Outlook)
  • Must be able to ascend and descend staircases, ladders, and/or step stools.
  • Will be required to travel outside between buildings in varying weather conditions
