About the role
The Assistant Property Manager supports day-to-day property operations at a 2.1 million square feet office tower in midtown Manhattan, ensuring a clean, safe, and comfortable environment for tenants and visitors.
Responsibilities
- Produce and distribute monthly status reports outlining building activity and associated costs to building owners and/or Rockefeller Group senior management
- Aid in the preparation and ongoing tracking of annual operating, maintenance, and capital budgets; input data into approved RGDC spreadsheet formats and recommend improvements in format and presentation
- Administer facilities contracts for the property
- Collect, review, and file certificates, drawings, and applications required for tenant construction projects
- Maintain working knowledge of all leases, with particular focus on clauses affecting building operations, income, and tenant options
- Inspect tenant spaces prior to move-in and move-out to ensure lease requirements are met; prepare building occupancy reports to keep management informed of tenant activity
- Update and revise tenant information for billing, property management software systems, and emergency notification systems
- Prepare and distribute tenant communications related to utility shutdowns, essential services interruptions, emergency or unusual situations, safety and security issues, and general building updates
- Coverage and support for cross-training in Property Manager responsibilities to provide backup coverage and support future advancement opportunities
- Perform other duties as assigned
Requirements
- Minimum of five years of experience in commercial property management, construction, or a related field
- Proven management and leadership skills
- Strong computer proficiency, including MS Windows and MS Office (Word, Excel, Outlook, PowerPoint) and database systems; ability to generate reports
- Strong written and verbal communication skills, with the ability to present information to tenants, senior management, owners, and staff
- Strong organizational skills with the ability to prioritize work assignments
- Ability to read, analyze, and interpret complex business documents, building plans, and blueprints
- Ability to perform building inspections
- Strong reasoning and problem-solving skills in complex situations
- Ability to work independently with little or no supervision
- Ability to work long and irregular hours, including weekends, and return to work for emergency situations on an on-call basis
Skills
- Possess or obtain advanced certification from a professional organization (e.g., BOMA RPA or FMA certification)
- Fire and Life Safety Director / EAP License preferred but not required
